About the role
You will own the end-to-end strategy and execution of large-scale conferences and events for Planned Parenthood's national teams, translating complex requirements into seamless, high-impact experiences. You will serve as the primary event production lead, designing detailed project timelines and managing all logistical components from initial brief to post-event debrief. In this capacity, you will cultivate deep partnerships with internal stakeholders and external vendors, ensuring alignment with organizational goals and brand standards. You will exercise strong judgment to solve unforeseen challenges on-site while maintaining calm, clear communication across cross-functional groups. The role requires meticulous attention to detail, from budget oversight to room layouts, ensuring every event runs efficiently and meets its strategic objectives. You will also act as a key liaison between program teams and operations, coordinating schedules, materials, and communications to support cohesive execution. Key facts
What you'll do
Coordinate large and multi-functional cross-divisional groups to execute on national conferences and events, translating strategic objectives into detailed operational plans.
Develop comprehensive project timelines and manage all logistical components, including venue selection, transportation, and on-site operations, to ensure events stay on schedule.
Build and maintain strong relationships with internal partners and external vendors, serving as the central point of contact for all event-related needs and negotiations.
Exercise discretion in handling sensitive information and complex issues, applying a problem-solving mindset to resolve challenges quickly and professionally.
Provide support to internal and external partners throughout the entire event lifecycle, from initial inquiry through post-event follow-up and reporting.
Create and refine standard operating procedures for event production and project management, improving efficiency and consistency across the Events & Conferences team.
Oversee on-site event management and operations, including room setup, registration flows, audiovisual requirements, and attendee experience.
Collaborate with program teams to align event content and agendas with organizational goals, ensuring that each conference advances Planned Parenthood's educational and advocacy priorities.
Lead communication and coordination efforts across departments, ensuring that schedules, materials, and responsibilities are clearly documented and adhered to.
Support the evaluation of event impact by gathering feedback, tracking key metrics, and contributing to post-event debriefs for continuous improvement.
Prepare detailed status reports and updates for senior leadership, highlighting progress, risks, and key decisions throughout the event planning process.
Act as a trusted resource for colleagues across Planned Parenthood, offering guidance on best practices for event management and professional execution.
Requirements
Must be at least 18 years of age.
Must be able to prove eligibility to work in the United States in accordance with the requirements of section 274 of the Immigration and Nationality Act, and must provide documentation establishing identity and work authorization within seven (7) days of the start date.
