You are responsible for driving case progression with a high level of empathy and precision, turning complex medical and legal information into clear, actionable steps for the legal team. You will take measurable ownership of client outcomes, ensuring that their experience with the firm is defined by respect, transparency, and results. Ultimately, you will be the central hub that keeps the entire case moving forward efficiently and with integrity.

What you'll do
You will attend the firm-wide huddle every Monday at 8:00 AM to align on priorities and case status. You will prepare for biweekly meetings with the Team Lead, arriving ready with supporting metrics and data to inform strategic decisions. You will ensure new clients are contacted within 24 hours of retention to complete the intake questionnaire and establish a solid foundation for the case. You will manage a firm cap of 15 outstanding telephonic client updates at any time, maintaining consistent communication without overwhelming the workflow. You will strictly adhere to a ceiling of 50 outstanding tasks under all circumstances to maintain control and accountability. You will complete case analysis within three weeks of receiving insurance confirmations to prevent delays in progression. You will schedule client evaluations with assigned attorneys to occur within two days after Medical Paralegals finalize their drafts to keep the timeline moving. You will submit demand letters within two days of receiving approved client authority to act swiftly on opportunities. You will update status comments in advance of all weekly OOS meetings, following established preparation guidelines to ensure readiness. You will review and update evaluation forms and demand packages to guarantee they are attorney-ready at all times. You will draft, save, and name all correspondence in SmartAdvocate following the official Naming Protocol to maintain system integrity. You will calendar all case information in strict accordance with the calendaring protocol to avoid conflicts and missed dates. You will answer incoming calls through the Final Call Group and perform backup intake calls as required by intake protocol to maintain client flow. You will meet with clients during intakes, transition to litigation meetings, and participate in settlement disbursement meetings as the case evolves. You will collaborate with all staff assigned to your cases to ensure steady, measurable progress toward a successful conclusion. You will provide clients with copies of file documents to keep them fully informed and engaged in the process. You will accurately post all costs, including expected but not yet invoiced expenses such as investigators and consultants, to maintain financial clarity. You will regularly monitor the firm dashboard to track performance metrics and identify areas for improvement. You will maintain detailed familiarity with each active case in your caseload to ensure nothing falls through the cracks. You will input and update all case information within SmartAdvocate accurately and promptly to keep the system current and reliable. You will provide support for property damage claims when necessary to address the full scope of client needs. You will communicate effectively with adjusters regarding active case matters to facilitate smooth resolutions. You will ensure health insurance subrogation claims are opened in a timely manner, or secure explicit authority to refrain from opening them to comply with client wishes. You will handle Medicare subrogation claims promptly through the designated portal to satisfy regulatory and financial requirements.
Requirements
You must possess a minimum of two years of focused experience in Plaintiff's personal injury case management to ensure you can handle the demands of this role. Experience in personal injury adjacent roles or in medical fields, including behavioral health, will not meet the specified criteria for this role and is not sufficient for consideration. You must have a strong understanding of state, local, and federal court rules as they apply specifically to personal injury matters to navigate the legal landscape effectively. Success in this position depends on genuine empathy for injured clients and the ability to connect with them respectfully and professionally. Exceptional verbal and written communication skills are essential for daily interactions with clients, attorneys, and opposing parties. You should demonstrate confidence and motivation to consistently exceed expectations in performance and contribute to the firm's high standards. Professional attire and demeanor are required in all firm and client-facing contexts to uphold the firm's reputation. A desire to learn, develop, and actively motivate team members is expected to foster a collaborative and growth-oriented environment. Excellent organizational and time-management abilities are necessary to handle complex caseloads and multiple deadlines without error. The role requires the ability to work during standard Mountain Time business hours, specifically Monday through Thursday from 8:00 AM to 5:00 PM, and Friday from 8:00 AM to 4:00 PM to align with firm operations. Passing a standard background check is mandatory for employment, ensuring compliance with firm policy and client safety.

This is a full-time position based in Albuquerque, NM, operating on a standard Mountain Time schedule from Monday through Friday. The compensation range is set between $49,940 and $64,500 per year, with regular adjustments based on expertise and dedication. The role requires successful passage of a standard background check as a condition of employment.
