About the role
Parnall Law Firm is one of the largest personal injury firms in New Mexico, and this role exists to support that mission through meticulous pre-litigation case management. You will serve as the central hub connecting injured clients to the firm's legal strategy, owning the intake and organization phases from first contact through resolution. This position requires you to maintain meticulous records and timelines in SmartAdvocate, ensuring no detail is overlooked. You will provide compassionate, clear communication to clients during a difficult time, uphold the firm's high standards of professionalism in every interaction, and drive cases forward efficiently by managing deadlines, updating dashboards, and coordinating with medical paralegals. Your work will directly support the firm's mission to maximize client compensation for harms caused by the wrongful actions of others.
What you'll do
You will schedule client evaluation appointments with assigned attorneys within 2 days of drafts being completed by Medical Paralegals. You will contact new clients within 24 hours of being retained to complete the intake questionnaire and establish rapport. You will attend daily team mini huddles Tuesday through Friday at 8:00 AM to synchronize priorities and case status updates, and attend the firm-wide huddle every Monday at 8:00 AM to align on firm objectives and performance metrics. You will participate in biweekly meetings with the Team Lead, fully prepared with supporting metrics data, to review caseload performance. You will ensure outstanding tasks do not exceed 50 at any given time to maintain productive workflows. You will ensure health insurance subrogation claims are opened timely (or obtain authority not to open them) and that Medicare subrogation claims are opened timely on the portal to comply with legal requirements and resolve liens. You will complete case analysis within 3 weeks of receiving insurance confirmations to assess case value and strategy, and submit demand letters within 2 days of approved client authority to move settlement discussions forward. You will keep status comments updated for all weekly OOS meetings per preparation guidelines, maintain thorough familiarity with each case in your caseload, post all case information and dates in SmartAdvocate, assist with property damage claims when necessary, communicate with adjusters on case matters, review and update evaluation forms and demand packages before attorney meetings, draft correspondence for attorneys and save/name documents per the Naming Protocol, calendar all case information per the calendaring protocol, answer incoming calls via the Final Call Group and perform backup intake calls per protocol, meet with clients during intakes and transition to litigation or settlement meetings as appropriate, collaborate with all staff assigned to your cases to move each case toward conclusion, keep clients updated with copies of file documents, post all costs including expected costs not yet invoiced, and monitor the dashboard.
Requirements
You must have a minimum of 2 years of Plaintiff's personal injury case management experience in a legal setting; PI adjacent or medical field/behavioral health experience will not be considered. You must demonstrate a strong understanding of state, local, and federal court rules to navigate procedural requirements accurately. You must show strong empathy for injured clients to foster trust and deliver sensitive communications effectively. You must possess exceptional verbal and written communication skills to interact professionally with clients, attorneys, and insurers. You must have the confidence and motivation to exceed expectations in a fast-paced environment, maintain a professional attire and demeanor at all times, and have a desire to learn, develop, and motivate team members to support a culture of continuous improvement. You must exhibit excellent organizational and time-management skills to juggle multiple deadlines and responsibilities, and be able to consistently work during Mountain Time business hours (Monday-Thursday 8:00 AM-5:00 PM, Friday 8:00 AM-4:00 PM). You must be able to pass a background check as a condition of employment.
