The Operations Administrator will work across multiple departments, coordinating workflows and ensuring that operational standards are met consistently. What you'll do
- Coordinate daily office operations and make sure that all administrative procedures are followed consistently across every department and team.
- Manage executive scheduling, calendar coordination, and meeting logistics to ensure that leadership and cross-functional groups stay aligned on priorities.
- Maintain and organize both physical and digital filing systems so that documents can be retrieved quickly and accurately whenever they are needed.
- Handle incoming and outgoing correspondence, including email management, internal memos, and the distribution of company-wide communications to relevant stakeholders.
- Support procurement activities by preparing purchase orders, verifying vendor quotes, and tracking deliveries against the timelines established by each department.
- Assist with budget tracking and expense reporting by compiling monthly financial data and presenting it in clear formats for departmental review.
- Oversee facility maintenance requests, coordinate with external vendors, and follow up to ensure that office service issues are resolved in a timely manner.
- Generate operational reports and visual presentations that summarize key metrics, helping management make informed decisions about resource allocation and process changes.
- Onboard new team members by preparing their workspace setups, distributing orientation materials, and coordinating with HR to ensure a smooth transition.
- Monitor inventory levels of office supplies on a regular basis and place replenishment orders when stock falls below the established threshold levels.
- Collaborate with the human resources team to update employee records, maintain accurate personnel documentation, and support compliance with internal data policies.
- Identify bottlenecks in existing workflows, propose practical solutions, and work with team leads to implement process improvements that reduce delays.
Requirements
- A Bachelor's degree in business administration, operations management, or a closely related field is a mandatory requirement for this position.
- A minimum of three years of hands-on experience in an administrative or operations support role within a professional or corporate environment.
- Demonstrated proficiency with the Microsoft Office Suite, including Excel, Word, and PowerPoint, at an intermediate to advanced skill level.
- Strong written and verbal communication abilities, with the capacity to draft clear, concise, and professional correspondence on a regular basis.
- A proven track record of managing multiple competing priorities at the same time and consistently meeting established deadlines without exception.
- Hands-on experience with database management and a solid familiarity with record-keeping best practices, data entry standards, and information organization.
- A thorough understanding of standard office procedures, including document management protocols, filing systems, and internal correspondence workflows.
- A high level of attention to detail and a methodical, organized approach to managing tasks, schedules, and day-to-day operational processes.

- Familiarity with cloud-based productivity platforms such as Google Workspace or Microsoft 365, which are commonly used for collaborative document creation and team coordination.
