About the role
The individual in this position serves as a critical operator ensuring the seamless execution of human capital functions at Norm Ai. You will own the integrity of our pre-boarding workflows and ensure a consistent, high-friction free experience for new legal engineering team members. This role requires you to manage the intersection of compliance, technology, and employee experience with a high degree of ownership. You will be responsible for maintaining the accuracy and security of sensitive personnel data across all operational touchpoints. The position demands a proactive mindset where you identify process gaps and drive the implementation of scalable solutions independently. You will act as a strategic partner to the People and Talent team, translating business needs into operational reality. Success in this role is defined by your ability to balance meticulous attention to detail with the agility required in a fast-moving environment. You will be evaluated on your capacity to execute complex administrative tasks while upholding the highest standards of confidentiality and regulatory adherence.

What you'll do
- Orchestrate the end-to-end pre-boarding lifecycle, managing all logistical and administrative tasks while updating the central compliance tracker in real time.
- Serve as the compliance guardian for background check operations, monitoring regulatory standards and resolving discrepancies promptly to maintain legal integrity.
- Conduct a strategic assessment of potential vendors, performing due diligence to identify solutions that align with our operational objectives and security requirements.
- Architect and maintain a library of standard operating procedures, documenting workflows to ensure consistency and enabling the organization to scale efficiently without loss of quality.
- Function as the privacy and confidentiality lead for employee accommodation requests, navigating sensitive information with discretion and ensuring all legal mandates are met.
- Author, distribute, and maintain a comprehensive suite of internal company policies, ensuring all documentation is current, accessible, and compliant with industry regulations.
- Act as the first point of contact for all staff inquiries, demonstrating expertise in both traditional HR processes and the evaluation of AI-driven support tools to improve system efficacy.
- Oversee the complete lifecycle of contractor administration, from initial onboarding through performance management to timely offboarding, ensuring all contractual obligations are met.
- Drive the adoption and integration of AI tools into daily operational workflows, using technology to automate repetitive tasks and enhance decision-making processes.
- Analyze operational metrics related to people processes, identifying trends and proposing data-driven improvements to enhance employee satisfaction and operational efficiency.
Requirements
- Possess 1 to 3 years of professional experience in Human Resources, People Operations, or a compliance-focused role within a regulated environment.
- Demonstrate a proven track record of building, following, and refining operational procedures to improve accuracy and reduce manual effort.
- Show a history of managing sensitive and confidential data with the highest level of discretion and ethical responsibility.
- Exhibit the capability to manage multiple complex projects simultaneously, maintaining composure and delivery in a fast-paced, deadline-driven environment.

Practical notes
- This role operates on a hybrid schedule, requiring 3 to 5 days per week in the New York City office.
