About the role
In the role of , you will be integral to the management and processing of secondary market client accounts. This position involves a variety of responsibilities, including the handling of new mandates and ensuring that all necessary documentation is complete and accurate. You will play a crucial role in liaising with multiple stakeholders, including property owners, accountants, notaries, and syndics, to facilitate smooth transactions. Your attention to detail and organizational skills will be essential in managing the sales files and maintaining effective communication with clients throughout the process.

What you'll do
- Receive and process property owner agreements submitted through our internal platform, ensuring all necessary information is captured.
- Conduct thorough checks to confirm the completeness of seller files, including regular follow-ups with stakeholders such as owners, accountants, notaries, and property managers.
- Gather essential documents from various sources, including identity proofs, financial statements, property titles, and management records.
- Draft exclusive sales mandates and assist in the electronic signature process to ensure compliance and efficiency.
- Organize necessary diagnostics by coordinating with service providers and managing billing follow-ups to maintain project timelines.
- Send preemption rights to operators and track responses to facilitate timely decision-making.
- Compile and transmit complete sales files to notaries for instruction, ensuring all legal requirements are met.
- Update and manage ongoing mandates, keeping clients informed about the status of their files and addressing any inquiries they may have.
- Regularly update sales files by monitoring diagnostics and requests from syndics and landlords, ensuring all data is current and accurate.
- Process client follow-ups, manage price adjustments, and ensure proper archiving of all relevant documents for future reference.
Requirements
- A minimum of a Bac +2 qualification, ideally in real estate (such as BTS Professions Immobilières) or in management/administration (like BTS GEA), or an equivalent qualification.
- Prior successful experience in a management or assistant role within the real estate sector, including transaction management, property management, or sales administration.
- Proficient in office tools, particularly Excel, as well as industry-specific software and CRM systems.
- Excellent written communication skills and the ability to engage effectively with a diverse range of stakeholders.
- Strong attention to detail, reliability, and the ability to meet deadlines consistently in managing files.
- Well-organized, autonomous, and capable of juggling multiple files and tasks simultaneously.
- A proactive approach to problem-solving and a willingness to take initiative in various situations.
- A customer-oriented mindset, with a focus on delivering high-quality service to all clients.
