About the role
You orchestrate the end to end flow of recruiting activities for Merlin Labs by maintaining the integrity of our pipelines and schedules. You serve as the primary liaison ensuring seamless communication across recruiters, hiring managers, and external candidates. You manage the lifecycle of each requisition from initial intake through offer coordination and new hire onboarding. You implement process improvements that reduce time to fill and enhance the candidate experience. You handle high volume tasks with precision while adhering to strict confidentiality and data security standards. You proactively identify bottlenecks and remove obstacles that could delay hiring decisions. You provide detailed status updates and metrics to support strategic workforce planning. You contribute to building a best in class recruiting operation that scales with our rapid growth.

What you'll do
Coordinate interview scheduling across multiple time zones while managing complex calendar systems and stakeholder preferences.
Perform intake sessions with hiring managers to clarify requirements, define ideal candidate profiles, and establish evaluation criteria.
Source and update candidate information in our applicant tracking system while ensuring data accuracy and completeness for reporting.
Screen resumes and profile databases to identify qualified candidates who meet specific technical and functional requirements.
Communicate regularly with candidates regarding application status, interview feedback, and next steps in the selection process.
Prepare interview guides, assessment criteria, and briefing documents to help interviewers conduct consistent and effective evaluations.
Maintain detailed records of all recruiting activities, decisions, and outcomes to support compliance and process improvement initiatives.
Manage offer coordination activities including background checks, reference verification, and communication with candidates during selection.
Track key performance indicators such as time to fill, source of hire, and candidate feedback to identify trends and optimization opportunities.
Support diversity and inclusion initiatives by implementing sourcing strategies that expand our talent pool and reduce bias in selection.
Collaborate with cross functional partners to align recruiting priorities with business objectives and project timelines.
Provide administrative support for recruiting events, job fairs, and networking activities to strengthen employer brand in the community.
Monitor recruitment metrics and prepare reports that provide insights into hiring trends, challenges, and areas for improvement.
Assist in the development and maintenance of job descriptions, ensuring they accurately reflect role requirements and company culture.
Support special projects related to process optimization, technology implementation, and documentation as requested by leadership.
Requirements
Demonstrate previous experience in recruiting coordination, talent acquisition, or a related human resources function.
Possess strong organizational skills with the ability to manage multiple assignments and meet deadlines in a fast paced environment.
Exhibit excellent written and verbal communication skills with a professional tone suitable for interactions with executives and candidates.
Show proficiency in using applicant tracking systems and common office productivity software tools.
Maintain a high level of confidentiality when handling sensitive candidate information and hiring decisions.
Demonstrate strong problem solving abilities and a proactive approach to identifying issues before they impact the hiring process.
Possess attention to detail with a commitment to accuracy in data entry, scheduling, and documentation.
Display adaptability and resilience when working in an environment that is dynamic, ambiguous, and subject to rapid change.
Nice to have
Experience in the aerospace, defense, or aviation sectors is preferred due to the specialized nature of our mission.
Familiarity with autonomy technologies, unmanned systems, or engineering driven hiring processes is a distinct advantage.
Knowledge of regulatory environments related to aviation and defense contracting is considered beneficial for this role.
Experience working with international candidates or managing visa processes is valued given our global operations.
Practical notes
This is a contractor position based in our Boston office.
Hours are aligned with standard business operations to ensure coverage across recruiting activities.
Travel is not required for this role as all work is performed at the primary site.
