Maropost is currently looking for a Chief of Staff to join their organization on a full-time basis. The Chief of Staff will serve as a trusted advisor to the executive team, helping to translate company vision into actionable plans across all departments. Key facts
What you'll do
- Partner directly with the executive leadership team to define and execute on company-wide strategic priorities and long-term organizational goals.
- Coordinate cross-departmental projects and initiatives, ensuring that all teams are aligned and working toward shared objectives.
- Prepare comprehensive briefing materials, presentations, and written reports for executive meetings, board sessions, and leadership reviews.
- Track and monitor progress on key strategic initiatives, providing regular status updates and flagging risks to leadership.
- Identify operational inefficiencies and recommend process improvements that enhance productivity and streamline workflows across the organization.
- Facilitate clear and effective communication between departments, ensuring that critical information is shared accurately and in a timely manner.
- Support the development, documentation, and rollout of company policies, standard operating procedures, and organizational best practices.
- Take ownership of special projects and ad-hoc assignments as directed by the executive team, seeing them through to completion.
- Analyze business performance data and key metrics to produce insights that inform strategic planning and operational decisions.
- Help plan and organize company-wide events, all-hands meetings, leadership offsites, and quarterly business reviews.
- Maintain thorough documentation of meeting outcomes, action items, decisions, and follow-up tracking for accountability across the organization.
- Serve as a trusted liaison between the executive team and other internal and external stakeholders to ensure mutual understanding.
Requirements
- Bachelor's degree or equivalent practical experience in business administration, management, operations, or a closely related discipline.
- Demonstrated track record of working in a senior operational or strategic role within a rapidly growing organization.
- Exceptional written and verbal communication abilities, with the capacity to present complex topics in a clear and concise manner.
- Proven ability to manage multiple competing priorities and consistently meet deadlines in a high-pressure, dynamic work environment.
- Hands-on experience with project management frameworks and tools used to track deliverables and measure outcomes.
- Strong analytical mindset with the confidence to work with data sets and performance metrics to support recommendations.
- A high degree of professionalism and discretion when handling confidential company information and sensitive business matters.
- A self-directed work style with the ability to take ownership of tasks and see them through without constant oversight.
Nice to have
- Prior experience working in SaaS, marketing technology, e-commerce, or a related technology sector.
- Familiarity with organizational design, change management, and the principles of scaling operations effectively.
- Any exposure to investor relations, board communications, or external stakeholder management in a corporate setting.
- A background in helping build and scale operational processes during periods of rapid company expansion and growth.
Skills & tools
- Proficiency with project management and collaboration platforms such as Asana, Monday.com, or similar tools.
- Strong command of Microsoft Office Suite or Google Workspace for creating documents, spreadsheets, and presentations.
- Experience with data visualization and reporting tools to present business insights clearly to leadership audiences.
- Working knowledge of enterprise resource planning systems and workflow automation platforms to improve operational efficiency.
- Ability to build and maintain complex spreadsheets, operational dashboards, and performance tracking reports with accuracy.
- Familiarity with customer relationship management platforms and marketing technology ecosystems commonly used in the industry.
Practical notes
- This is a full-time position with a standard business schedule, though additional hours may be needed during peak periods or major company initiatives.
- The Chief of Staff reports directly to the executive leadership team and works in close collaboration with the CEO and other C-suite leaders.
