About the role
This role centers on delivering high-level administrative support to ensure the seamless operation of key programs at Hope Services. The hire will manage special projects or contracted services while maintaining strict attention to both clinical and financial program components. You will supervise the quality of clinical records within the Mental Health department and analyze outcomes to drive improvements in service delivery. The position requires gathering and tabulating data on clinical outcomes for research, presentations, and outcome reports. You will provide quality control for Counseling services by examining billing records against clinical records to ensure full correspondence. Additional responsibilities include implementing EHR systems in the front office and attending SCCMH trainings and relevant meetings as necessary. You will participate as an integral part of a multi-disciplinary team dedicated to meeting the complex needs of clients and their families.

What you'll do
Manage special projects or contracted services to support organizational objectives across clinical and financial domains.
Supervise the quality of clinical records in the Mental Health department and analyze outcomes from clinical work to suggest actionable improvements.
Gather data on outcomes from clinical work and assist in tabulating findings for research, presentations, and outcome reports.
Provide quality control for Counseling services by examining billing records versus clinical records to ensure correspondence and accuracy.
Attend SCCMH trainings on clinical work and Unicare, along with necessary meetings to maintain compliance and skill development.
Help implement electronic health record systems in the front office to improve workflow and data management.
Participate as an integral part of a multi-disciplinary team designed to meet the needs of clients and their families through coordinated care.
Assist with scheduling of clinical contacts and handle phone inquiries from clientele and other agencies professionally.
Perform additional duties as assigned to ensure the efficiency and quality of the programs remain at the highest standard.
Travel into the field as requested to gather information or assist in the delivery of quality services.
Assist with major events involving clients and their families, including parent nights and related engagements.
Requirements
Bachelor of Arts or Bachelor of Science degree is required for this position.
You must meet eligibility requirements for billable SCCMH work as defined by regulatory and compliance standards.
A clinical interest in developmental disability or psychology is preferred; however, relevant experience in accounting, finance, or project management duties will be considered as a substitute.
Demonstrate proficient computer skills including word processing, spreadsheets, and database management to perform essential job functions.
Apply abstract thinking and high-level conceptualization to analyze complex information and develop solutions.
Conduct independent research to support program quality improvement and service delivery objectives.
Maintain flexibility and the ability to prioritize tasks effectively while demonstrating excellent concentration skills.
Exhibit discretion in all matters and communicate effectively with clinical, administrative, and professional staff as well as clients and their support systems.
Apply knowledge of management principles, planning strategies, and regulations to ensure compliance and operational excellence.
Nice to have
Previous experience in a nonprofit environment focused on mental health or developmental disabilities.
Understanding of CARF accreditation standards and commitment to quality assurance.
Experience supporting data collection for grants management or reporting requirements.
Knowledge of EHR systems and implementation processes in healthcare settings.
Skills in conducting outcome measurements and analyzing program effectiveness.
Practical notes
Hourly compensation is offered in the range of $25.00 to $28.00, subject to experience and qualifications. This engagement is structured as a Sub/Temp assignment. The position may require travel to various work site locations and some exposure to weather conditions during field visits. An enclosed office environment is the primary setting for this role, with significant time spent sitting, using a computer station, and engaging in intense concentration on tasks. The successful candidate must be able to attend scheduled meetings and trainings as required.
