Senior Operations Associate
Job description
About the role
Senior Operations Associate
Headway is redefining access to mental health care by removing the financial and administrative barriers that prevent millions from receiving support. One in four people in the United States lives with a treatable mental health condition, yet cost and provider shortages remain the most significant obstacles to treatment. At Headway, we attack this problem at its root by modernizing the infrastructure that connects patients with providers and payers. Our technology enables a network of more than 75,000 providers across all fifty states, serving over one million patients annually. We exist beyond the limitations of traditional billing systems; we are building a comprehensive platform designed to run the modern mental healthcare practice. This mission requires a world-class Operations team that can scale efficiently while maintaining the highest standards of quality. The Senior Operations Associate will play a pivotal role in this structure, transforming complex workflows into reliable, scalable systems.
You will own the execution of core processes that directly impact the patient and provider experience. By partnering with product, engineering, and data teams, you will ensure that our operations are not only efficient but also strategically aligned with the future of our platform. This position provides deep visibility into the mechanics of the healthcare system and offers the chance to drive meaningful change for hundreds of thousands of users.
What you'll do
You will architect and manage the end-to-end flow of intake and credentialing, converting complex eligibility and provider data into clear, actionable pathways for care. You will design and implement operational playbooks that ensure consistency and quality as we scale. You will analyze claims and payment data to identify friction points and opportunities for automation, directly improving the reliability of care delivery. You will build and manage tools that allow therapy platforms to operate seamlessly, ensuring provider workflows are fast and error-free. You will act as a central point of collaboration, bridging the gap between operational execution and product strategy. You will use data to monitor performance, identify trends, and refine processes that affect the entire Headway ecosystem. You will automate repetitive tasks to free up teams for high-value problem-solving and innovation. You will coordinate cross-functional initiatives to streamline regulatory compliance and ensure adherence to healthcare standards. You will own key metrics related to operational health, diagnosing bottlenecks and proposing data-backed solutions. You will serve as a subject matter expert on operational workflows, translating business requirements into technical specifications for the team.
Requirements
You bring three to five years of experience in operations, consulting, or investment banking, particularly within fast-paced, growth-oriented environments. You thrive when faced with ambiguity, able to transform unclear challenges into structured plans and executed results. You are highly analytical, capable of conducting complex analyses to extract insights that drive real-world improvements in care access. You are a collaborative leader who partners proactively across disciplines, holding yourself and others accountable for shared objectives. You view problems through a systems lens, preferring product and automation solutions that create durable change. Your communication is precise, allowing you to translate technical concepts into clear strategies for cross-functional stakeholders. You are comfortable working remotely, managing your time effectively with minimal direct supervision. You possess strong written and verbal communication skills, able to convey complex ideas to both technical and non-technical audiences. You demonstrate a high level of ownership, proactively identifying issues and driving them to resolution.
Compensation and Benefits
The base salary for this role ranges from $76,160 to $112,000, determined by factors such as experience and location. This role may also include equity compensation, reinforcing our commitment to shared long-term value. Headway provides a comprehensive benefits package designed to support your well-being and future. This includes robust medical, dental, and vision coverage, as well as Health Savings Account and Flexible Spending Account options. We offer a 401(k) retirement plan with company match, generous paid time off, and 16 weeks of parental leave for eligible employees. Additional benefits include a work-from-home stipend, therapy reimbursement, and access to Carrot Fertility services. We recognize the importance of professional growth and provide allowances for training and development.
Headway is an equal opportunity employer committed to building a diverse team reflective of the communities we serve. We believe that solving complex problems requires a diversity of perspectives across race, gender, age, religion, disability, and background.
