About the role
You are passionate about creating unforgettable workplace experiences and will join GetYourGuide as an Intern (12 months) to take ownership of the day-to-day Workplace operations across our two Zurich locations. You will support Employee Experience initiatives that bring our culture to life and ensure every moment in the office supports connection and engagement. You will be an integral member of our People Team, collaborating closely with the Workplace team in Berlin and the People Operations/Experience Manager in Zurich. You will also liaise with our IT team and external vendors to keep everything running smoothly. Your work will directly contribute to making millions of travelers' journeys extraordinary by maintaining the environment where our teams create those experiences.
Key facts
What you'll do
Oversee day-to-day office operations across both Zurich locations, including the main office and a coworking space, ensuring each remains functional, safe, and welcoming for everyone.
Own ordering and stock management of office and Food & Beverage/pantry supplies for the coworking location, maintaining accurate records and preventing service disruptions.
Coordinate front desk duties, including greeting visitors, managing incoming and outgoing mail, and handling packages with care and discretion.
Manage local vendors and service providers such as cleaning, catering, maintenance, and the coworking space, ensuring clear communication and reliable performance.
Maintain monthly facility checklists for both locations and liaise regularly with the Workplace team in Berlin on standards, processes, and reporting to ensure consistency.
Optimize and maintain workstations, meeting rooms, and shared spaces, and manage simple maintenance issues and repair requests end-to-end to minimize downtime.
Support the organization of company All-Hands meetings, meet-ups, in-office lunches, and other employee perks and global events to strengthen team connection.
Coordinate local events and logistics to ensure smooth execution and alignment with GetYourGuide culture and values.
Support onboarding with office tours and ensure new hires feel set up and comfortable across both office locations from their first day.
Promote a culture of care and inclusion by maintaining high standards of health and safety in all workspaces and common areas.
Act as a point of contact for employees regarding workplace-related queries and escalate issues to the appropriate teams when necessary.
Continuously look for areas to improve the office and employee experience, proposing practical solutions that enhance efficiency and satisfaction.
Requirements
Currently enrolled in a Bachelor's or Master's program or have completed your studies, demonstrating a commitment to learning and professional growth.
You must meet the EFTA/EU requirement as stipulated for the role.
You possess excellent English skills at C1 level and Swiss German skills at C1 level to communicate effectively with all stakeholders.
You are available for at least 12 months, working 32 hours per week consistently to ensure continuity in operations.
You are comfortable managing multiple vendors and locations simultaneously, with strong organizational skills and attention to detail.
You enjoy interacting with employees and maintaining our culture at GetYourGuide, showing empathy and strong interpersonal abilities.
You are proactive and hands-on, always looking for areas to improve the office and employee experience through initiative and ownership.
Knowledge of health and safety regulations is considered a plus, helping you manage risks and support compliance.
Previous experience in office management, procurement or ordering, or employee events is a plus, providing relevant context for the responsibilities.
Nice to have
Preferred candidates will have exposure to office and facilities management in dynamic environments.
Experience supporting employee events and engagement initiatives is valued.
Familiarity with hybrid workplace models and collaboration tools is considered an advantage.
Understanding of customer experience principles is appreciated given our focus on external and internal service excellence.
Practical notes
This is a 32 hours per week, 12 months internship position based in Zurich.
The internship offers a hybrid working approach with three days of in-office collaboration (Monday, Tuesday, Thursday) and two days of optional at-home focus time.
