What you'll do
The Contracts Administrator supports commercial and administrative management of contracts across Firmus' AI infrastructure and capital projects portfolio. You will own the end-to-end administration of our commercial contracts and procurement documentation within our AI infrastructure projects. You will be the central point of contact for ensuring all contract documentation is accurate, complete, and compliant with our internal governance standards. Your work will directly support the efficient execution of our AI Factory model-to-grid operations across the Asia Pacific region. This position offers the opportunity to work at the intersection of large-scale technology deployment and critical energy infrastructure. You will contribute to the reliability and compliance that underpins our partnerships with NVIDIA and our broader customer base.
You will coordinate and manage the end-to-end lifecycle of commercial contracts and associated documentation for Firmus projects. You will maintain centralized contract registers and procurement trackers to ensure real-time visibility into contract status and key dates. You will prepare and issue requests for quotation (RFQ) and tender documentation in support of procurement strategies. You will liaise directly with internal stakeholders and external suppliers to clarify requirements and secure necessary contract information. You will track and monitor contract milestones, deliverables, and obligations to ensure adherence to project timelines.
You will administer variation and claims processes, maintaining detailed registers and supporting documentation for audit trails. You will perform administrative reviews of contract documentation and coordinate internal approval workflows before execution. You will ensure all executed contracts and related files are stored correctly in line with Firmus records management protocols. You will support the preparation of obligation matrices and contract summaries for project team briefings. You will monitor workflow compliance across the contracting process and identify areas for process improvement. You will assist in the onboarding of new suppliers by coordinating the collection and filing of required documentation. You will coordinate the procurement of goods and services by preparing comprehensive procurement packs as required. You will support contract close-out activities to ensure all terms and conditions have been fulfilled upon project completion. You will maintain correspondence logs and delivery registers to provide a clear audit trail for commercial interactions.
Requirements
You will demonstrate strong attention to detail and the ability to manage multiple administrative tasks simultaneously in a fast-paced environment. You will possess excellent written and verbal communication skills to effectively engage with internal teams and external suppliers. You will show a proactive approach to identifying issues and escalating matters appropriately within established governance frameworks. You will have a solid understanding of commercial documentation and the ability to interpret contract terms and conditions. You will be highly organized with the capability to maintain accurate records and filing within contract management systems.
You will commit to adhering to Firmus' commercial processes and ensuring compliance with all relevant documentation controls. You will demonstrate the ability to work collaboratively within a cross-functional project team environment. You will be available during standard business hours in the Sydney time zone to fulfill administrative duties.
