Key facts
What you'll do
Coordinate and manage a complex, international calendar across multiple time zones, proactively resolving conflicts and prioritising appointments for the Global CFO.
Organise and coordinate domestic and international travel, including flights, accommodation, visas, itineraries, and the scheduling of key meetings with stakeholders.
Provide high-level administrative and coordination support to both the Global CFO and the Company Secretary to ensure seamless office operations.
Support inbox and correspondence management, including drafting professional communications and other appropriate correspondence as required.
Act as a key point of contact for internal and external stakeholders, ensuring all professional interactions are handled with timely and clear communication.
Maintain accurate, organised, and confidential records and documentation to the highest standard.
Identify opportunities to improve existing processes and implement technology and AI-enabled tools that enhance efficiency and productivity.
Support the adoption of emerging technologies within the office environment to drive continuous improvement in workflows.
Manage competing priorities and deadlines with a high level of professionalism and discretion.
Contribute to the development and implementation of office procedures that promote efficiency and best practice.
Provide proactive problem-solving and logistical support to facilitate the successful execution of senior leadership initiatives.
Ensure strict compliance with data protection and confidentiality protocols in all administrative activities.
Liaise with internal departments and external partners to coordinate activities and resolve any operational issues.
Assist in the preparation of materials and documentation for key meetings and strategic discussions.
Requirements
You may already be working in administration, team support, office coordination, customer service, operations, or a similar role in a fast-paced environment where organisation, communication, and problem-solving are essential.
You must be dependable, detail-oriented, emotionally intelligent, and comfortable working with senior stakeholders.
You will bring a strong track record of reliability and performance in administrative, coordination, customer-facing, or operational roles.
You must possess a stable and credible work history that demonstrates commitment, professional growth, and the ability to take on increasing responsibility over time.
Excellent organisational skills are required to manage competing priorities and complex schedules effectively.
High emotional intelligence and confidence are necessary when interacting with a diverse range of stakeholders.
Strong communication skills, both written and verbal, are mandatory for this position.
Solid Microsoft Office skills (Outlook, Word, PowerPoint, Excel, Teams) are essential for daily operations.
A proactive mindset and willingness to take ownership of tasks and follow through on commitments are required.

You must maintain a high level of professionalism, discretion, and integrity in all interactions.
Formal qualifications in Business Administration or a related field are beneficial but not essential for success in this role.
