What you'll do
- Oversee daily administrative functions to support project teams and ensure efficient operations across multiple sites.
- Coordinate logistics for project mobilizations, including travel arrangements and accommodation for personnel.
- Maintain accurate records of project documentation, including contracts, permits, and compliance reports.
- Serve as the primary point of contact for site-related inquiries, facilitating communication between project teams and external stakeholders.
- Assist in the preparation of project budgets and financial reports, ensuring adherence to company financial policies.
- Implement and maintain filing systems for both physical and digital documents to enhance accessibility and organization.
- Support safety and compliance initiatives by ensuring that all site activities adhere to regulatory requirements and company standards.
- Conduct regular audits of site operations to identify areas for improvement and implement corrective actions as necessary.
- Collaborate with HR to manage onboarding processes for new employees, including training and orientation.
- Facilitate meetings and prepare agendas, minutes, and follow-up actions to ensure effective communication among team members.
- Assist in the procurement of supplies and equipment necessary for project execution, maintaining relationships with vendors and suppliers.
- Provide administrative support to senior management as needed, including scheduling appointments and managing calendars.
Requirements
- A minimum of 3 years of experience in an administrative role, preferably within the maritime or construction industry.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software.
- Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Strong written and verbal communication skills, with an emphasis on professional correspondence.
- Familiarity with safety regulations and compliance standards relevant to maritime operations.
