Circlecardiovascularimaging is seeking an HR/Office Administrator to join their team in Calgary, Alberta. This fixed term position will support the day to day administrative and human resources functions of the organization, involving office operations, employee relations tasks, and general workplace management across all departments. The successful candidate will serve as a key point of contact for staff and visitors, handling a diverse range of responsibilities that keep the office organized and productive while contributing to a cardiovascular imaging company in a hands on administrative capacity. What you'll do
- Support the human resources team with recruitment, onboarding, and offboarding activities for new and departing employees
- Manage office supplies, equipment orders, and maintain a well stocked and functional workplace environment
- Coordinate meetings, schedule appointments, and organize company events and staff gatherings throughout the year
- Handle incoming phone calls, emails, and visitor inquiries in a professional and courteous manner at all times
- Maintain personnel files, update employee records, and ensure all documentation is current and accurate
- Assist with payroll administration, timesheet tracking, and benefits enrollment processes for staff members
- Develop and distribute office policies, newsletters, and internal communications to all staff members regularly
- Oversee the booking and preparation of conference rooms and shared spaces for team use
- Support compliance with local employment regulations and workplace health and safety standards
- Collaborate with department leads to identify administrative needs and improve office workflows continuously
- Prepare reports and presentations for management review on office operations and HR activities
- Coordinate vendor relationships for office services including cleaning, maintenance, and equipment repairs
- Maintain the company intranet, shared drives, and digital filing systems to ensure easy access to important documents
- Assist with organizing company outings, team building activities, and other employee engagement initiatives
Requirements
- Previous experience in an HR, office administration, or general office support role is required
- Strong written and verbal communication skills with a high level of attention to detail
- Ability to manage multiple tasks and prioritize competing deadlines in a fast paced setting
- Proficiency with standard office software and productivity applications such as word processors and spreadsheets
- A diploma or certificate in office administration, human resources, or a related field is expected
- Comfort with handling confidential employee information with discretion and professionalism at all times
- Experience working in a small to medium sized organization is considered an asset
- Availability to work on site in Calgary, Alberta for the full duration of the fixed term
Nice to have
- Familiarity with applicant tracking systems or human resources information platforms and databases
- Experience coordinating training sessions or professional development activities for staff members
- Knowledge of Alberta employment standards and workplace legislation is valued
- Background in healthcare, medical imaging, or a related industry setting is beneficial
- Certification in human resources or a related professional designation is a plus
- Experience with benefits administration or pension plan management is also appreciated
