About the role
BillionToOne is looking for an Associate Director of Events to take ownership of event strategy and execution across the organization. This role centers on designing and delivering event experiences that align with the company's goals and values. The Associate Director of Events will manage end-to-end planning for conferences, meetings, and gatherings that bring together teams, partners, and communities. Working remotely, this individual will coordinate with internal departments and external vendors to ensure every event runs smoothly and meets its intended purpose. The position requires strong organizational skills and the ability to manage multiple projects simultaneously in a distributed work environment. The Associate Director of Events will report to senior leadership and contribute to the company's broader strategic initiatives through thoughtfully planned engagements. What you'll do
Plan and oversee the full lifecycle of company events from initial concept through post-event follow-up and evaluation.
Collaborate with leadership teams to define event objectives, themes, and desired outcomes for each gathering.
Manage event budgets, track spending, and ensure all activities stay within approved financial parameters.
Coordinate with internal stakeholders to gather requirements and align event content with organizational priorities.
Source and evaluate venues, catering providers, and other vendors to secure the best options for each event.
Create detailed event timelines and run-of-show documents that guide all logistical and operational details.
Handle registration, ticketing, and attendee communications before, during, and after each event.
Oversee event marketing materials including invitations, promotional content, and post-event summaries.
Ensure all events comply with company policies, industry standards, and any applicable regulations.
Analyze event data and feedback to identify improvements and refine future event strategies.
Maintain an event calendar and pipeline to track upcoming activities and ensure proper resource allocation.
Liaise with marketing and communications teams to integrate event messaging with broader company campaigns.
Requirements
Bachelor's degree or equivalent experience in event management, hospitality, communications, or a related field.
A minimum of five years of professional experience planning and executing events in a corporate or agency setting.
Demonstrated ability to manage budgets typically exceeding one hundred thousand dollars per event cycle.
Strong proficiency with project management platforms and event management software tools.
Excellent written and verbal communication skills with the ability to present clearly to diverse audiences.
Proven track record of coordinating cross-functional teams and managing multiple simultaneous event projects.
High level of adaptability and comfort working in a fast-paced environment with shifting priorities.
Self-directed work ethic with a history of delivering results in remote or distributed team settings.
Experience managing vendor contracts and negotiating terms with external service providers is essential.
Comfort with data analysis and reporting to measure event ROI and present findings to leadership.
Nice to have
Experience organizing large-scale conferences or industry events with five hundred or more attendees.
Familiarity with video conferencing platforms and hybrid event formats that combine in-person and virtual elements.
Background in the life sciences, genomics, healthcare, or biotechnology sectors is a plus.
Knowledge of accessibility standards and inclusive event planning practices for diverse audiences.
Prior experience managing event budgets in a fast-growing startup or technology company environment.
Skills & tools
Proficiency in event management platforms such as Cvent, Eventbrite, or similar scheduling and registration systems.
Experience with budget management software and financial tracking tools for event cost control.
Familiarity with collaboration platforms including Slack, Microsoft Teams, or equivalent remote communication tools.
Strong working knowledge of presentation and design applications for creating event materials and decks.
Ability to use survey and feedback tools to capture attendee insights and measure event success.
Comfort with video production or livestreaming tools for hybrid and virtual event components.
Working knowledge of customer relationship management systems for tracking attendee and sponsor information.
Practical notes
This is a full-time remote position with no requirement to relocate or report to a physical office on a regular basis.
The Associate Director of Events may need to adjust schedules to accommodate time zone differences across a distributed team.
Travel to occasional in-person events or offsite meetings may be required as business needs dictate.
