About the role
You will own the end-to-end recruiting operations infrastructure for Beacon and its portfolio companies, ensuring that data, workflows, and systems are robust from day one rather than patched together later. You will configure and maintain Ashby as the core platform, managing configurations, integrations, and data hygiene without relying on shared or split responsibilities. You will design and own the reporting layer that delivers funnel metrics, time-to-fill, source effectiveness, and hiring velocity to recruiters, executives, GMs, and hiring leaders. You will translate how Beacon hires today into documented, repeatable processes that scale cleanly as the team and portfolio companies grow. You will identify and deploy AI and automation tools to reduce administrative burden across screening, scheduling, and post-interview workflows. You will standardize the candidate experience across corporate and portco searches to maintain a consistently high bar for every interaction. You will act as the cross-functional glue between Talent, Department Heads, Finance, and People partners to align on headcount planning, offer letters, background checks, and clean handoffs. You will build and maintain a data hygiene structure that allows every portfolio company's reqs, candidates, and hires to roll up into one coherent picture without retrofits.

What you'll do
- Assume full ownership of Ashby, handling configuration, workflows, integrations, and data hygiene as your sole responsibility rather than a shared task.
- Construct the reporting layer that powers funnel metrics, time-to-fill, source effectiveness, and hiring velocity dashboards used by recruiters, executives, GMs, and hiring leadership.
- Convert current Beacon hiring practices into documented, repeatable workflows capable of withstanding portfolio growth without breaking.
- Serve as the coordination backbone alongside the Recruiting Coordinator to preserve clean scheduling, candidate communications, and interview logistics across multiple concurrent portco searches.
- Identify and deploy AI and automation tools that reduce administrative tasks in screening, scheduling, and post-interview decision and offer workflows.
- Define and enforce a standardized candidate experience that applies consistently across corporate and portco searches with a high bar for quality.
- Collaborate with the VP of Talent and Finance on headcount planning and with legal and People partners on offer letters, background checks, and clean handoffs.
- Build data hygiene structures at holdco scale so that every portfolio company's reqs, candidates, and hires integrate into one clean, unified view from the start.
- Design intake and requirement-gathering processes that capture stakeholder needs accurately to prevent scope drift and rework.
- Create playbooks for candidate outreach, interview scheduling, and feedback collection that reduce manual touchpoints and improve response rates.
- Establish SLAs and service-level expectations for recruiters and hiring managers to ensure timely movement of candidates through the funnel.
- Implement tracking mechanisms for source performance so that recruitment spend aligns with high-quality candidate pipelines.
- Partner with data stakeholders to set up dashboards that surface bottlenecks, drop-off points, and process inefficiencies in real time.
- Maintain system integrations between Ashby, communication tools, and calendar platforms to reduce manual data entry and errors.
- Monitor hiring velocity metrics and run experiments to identify changes that meaningfully shorten time-to-fill without sacrificing quality.
Requirements
- Bring 5+ years of experience in recruiting operations, HR technology, or business systems administration with demonstrable ownership of an ATS, Ashby strongly preferred.
- Show a track record of building processes from scratch rather than optimizing an existing one, because Beacon's talent function is new and you will write the manual, not edit it.
- Demonstrate a strong analytical mindset with the ability to build dashboards and, more importantly, identify which metrics actually change decisions.
- Exhibit systems thinking by mapping how changes in one workflow ripple through downstream reporting and integrations before implementation.
- Thrive in environments with ambiguity, operating effectively in a fast-moving, small-team, multi-entity setup where no two portfolio companies operate identically.
- Communicate excellently across cross-functional teams, working directly with Talent, Department Heads/Managers, Finance, and People partners across a holding company structure.
- Hold a Bachelor's degree, or compensate with additional years of relevant experience in lieu of a degree.
- Pass standard background checks and meet all legal requirements for employment in the United States.
- Be authorized to work in the United States without sponsorship for this position at this time.
- Maintain confidentiality and handle sensitive candidate and company information with discretion at all times.
Nice to have
- Demonstrate experience in PE-backed or multi-entity/holdco environments where recruiting operations served several operationally independent businesses simultaneously.
- Show history of standing up recruiting operations and systems from scratch (0-to-1), not just optimizing a mature function.
- Have experience partnering with a lean recruiting coordination function to keep logistics tight without a large ops team supporting you.
