About the role
The Fuel Contract Analyst supports the day to day fuel contracting and procurement activities for the organization, serving as a key support role to the Manager of Fuel Procurement. This position is responsible for fuel contract administration, RFP support, pricing updates, market intelligence, tax research, and vendor coordination. The Analyst will partner cross functionally to ensure fuel agreements are accurately reflected in systems, compliant with internal policies, and aligned with procurement strategy. The role requires a strong work ethic and the ability to operate with a high degree of accuracy in a fast paced, high volume environment. You will be expected to work independently and within a team to prioritize tasks and meet tight deadlines. Excellent written and verbal communication skills are essential for presenting findings and recommendations to management.

What you'll do
- Provide proactive support for the administration and maintenance of fuel supply, into-plane, storage, and related fuel service contracts.
- Track contract terms, expirations, renewals, extensions, and termination dates; proactively flag upcoming actions to the Manager of Fuel Procurement for timely execution.
- Assist with contract reviews, amendments, and documentation to guarantee alignment with negotiated commercial terms and established company policies.
- Maintain accurate contract records, summaries, and reference materials to facilitate efficient access for internal stakeholders and decision makers.
- Assist the Manager of Fuel Procurement with annual and ad-hoc fuel RFPs, including data gathering, bid analysis support, and comprehensive documentation of findings.
- Support sourcing strategies by preparing comparative analyses of supplier proposals, pricing structures, and service options to identify optimal value.
- Coordinate communications with fuel suppliers during sourcing events, clarifications, and follow-ups to ensure clarity and alignment.
- Assist with implementation of awarded contracts, including coordinating internal setup requirements and managing vendor onboarding documentation.
- Monitor and analyze jet fuel market data from sources such as Platts, Argus, and OPIS pricing indexes to inform strategic decisions.
- Support preparation and distribution of weekly and monthly contracted fuel pricing updates for internal and external stakeholders.
- Track market trends, competitive benchmarks, and supplier activity to identify cost-saving or risk-mitigation opportunities for the organization.
- Assist with scenario analysis and ad-hoc market research to support timely and informed procurement decisions.
- Assist with fuel tax research related to sales, excise, and airport-specific fuel taxes to ensure compliance and accuracy.
- Support updates to tax assumptions within fuel systems based on regulatory or jurisdictional changes affecting contract valuation.
- Coordinate with Tax and Accounting teams to verify that fuel contracts reflect appropriate tax treatment and reporting standards.
- Maintain current fuel vendor, into-plane operator, and airport fuel contact information in centralized records.
- Support ongoing supplier relationship management through regular communication, performance tracking, and issue resolution.
- Coordinate with internal teams including Accounting, Tax, QA, Airport Services, OCC, Dispatch, and IT to support contract setup, data accuracy, and operational readiness.
- Assist with providing required vendor documentation for QA audits, system maintenance, and compliance reviews as requested.
- Assist with maintaining fuel contract data within fuel management and procurement systems, ensuring pricing, terms, and effective dates are accurate and up to date.
- Support system updates related to new contracts, amendments, or pricing changes to maintain system integrity and reporting accuracy.
- Help document standard work, procedures, and controls related to fuel contracting and procurement activities for process improvement.
- Arrange fuel releases for ad-hoc charters, diversions, aircraft deliveries, and maintenance events to support operational needs.
- Support communication and distribution of monthly fuel nominations to fuel suppliers to ensure timely fulfillment of commitments.
- Assist in resolving fuel supply or commercial issues impacting operations, escalating to appropriate stakeholders when necessary to minimize disruption.
- Support the Manager of Fuel Procurement in cross functional initiatives that enhance procurement efficiency and contract performance.
Requirements
- Must be authorized to work in the US as defined by the Immigration Act of 1986 and provide documentation accordingly.
- Must pass a Criminal Background Check as part of the pre employment screening process before commencing duties.
- Possess a Bachelor's Degree in Business Administration, Accounting, Finance or a related field recognized by the institution.
- Demonstrate proficiency with Microsoft Office applications including Outlook, Word, Excel, PowerPoint, and associated tools.
- Exhibit a strong work ethic with the ability to manage multiple priorities in a dynamic environment.
- Must be well organized and a self starter capable of managing time effectively without constant supervision.
- Maintain a detail oriented mindset with a professional attitude, reliability, and a high degree of accuracy in all deliverables.
- Ability to work independently and collaborate effectively with team members in a fast paced, high volume environment while maintaining accuracy and timeliness.

- Strong problem solving skills, basic accounting principles knowledge, and data analysis capabilities.
- Knowledge and experience in petroleum pricing, fuel supply and distribution, refining, or trading environments.
- Ability to recommend and implement strategic courses of action relative to various fuel circumstances based on analysis.
