About the role
This position oversees the complete procurement and fulfillment cycle for a U.S. based eyewear company operating in the direct-to-consumer space. The successful candidate will take ownership of frame and lens ordering processes, cultivate and maintain strong vendor partnerships, and ensure that customer orders progress smoothly through each production stage without unnecessary delays. You will serve as a critical link between customer service operations and external suppliers, helping to maintain the high standards of delivery and quality that customers expect. This role offers significant growth potential as you expand from frame procurement into the more technical aspects of prescription lens ordering.

What you'll do
- Review and process incoming customer orders by carefully verifying all specifications and details within the Shopify platform before initiating frame orders through appropriate vendor portals.
- Place accurate and timely frame orders with multiple vendors while ensuring all product specifications match customer requirements and company standards.
- Continuously monitor vendor inventory levels and stock availability to proactively identify potential back orders or fulfillment delays before they impact customer timelines.
- Handle procurement exceptions and special circumstances, including discontinued items, unexpected stock shortages, or supply chain disruptions, by researching and identifying suitable alternative products.
- Collaborate closely with the RX customer service department to provide timely status updates on orders and offer additional support during high-volume periods or seasonal rushes.
- Create and maintain comprehensive documentation of all vendor interactions, complete order history records, and detailed purchasing logs for reference and reporting purposes.
- Build and nurture productive relationships with frame vendors and optical laboratories to ensure favorable terms, reliable communication, and priority handling when needed.
- Track order progress from initial placement through delivery, flagging any issues that arise and implementing solutions to keep fulfillment on schedule.
- Gradually transition into managing prescription lens procurement responsibilities as you develop proficiency with company workflows, systems, and vendor relationships.
- Analyze procurement data to identify trends, potential cost savings, and opportunities to improve efficiency within the ordering process.
- Communicate effectively with internal teams regarding inventory concerns, vendor performance issues, and any factors that may affect customer order fulfillment.
- Contribute to process improvement initiatives by identifying bottlenecks in the procurement workflow and suggesting practical solutions.
Requirements
- Minimum of two years of professional experience working within the optical or eyewear industry in a procurement, ordering, or vendor management capacity.
- Demonstrated background in frame ordering processes, procurement operations, or vendor relationship management within a retail or e-commerce environment.
- Hands-on experience using Shopify or comparable e-commerce platforms for order management and fulfillment tracking.
- Working familiarity with optical laboratory ordering systems and various vendor-specific portals used in the eyewear industry.
- Practical knowledge of inventory management systems and understanding of RX lens workflows, including how prescription orders move through production.
- Strong English language proficiency for both written and verbal communication, particularly when interacting with vendors and internal teams.
- Proven ability to manage multiple vendor relationships and competing order priorities simultaneously without sacrificing accuracy or attention to detail.
- Excellent organizational skills with the capacity to maintain detailed records and documentation across numerous ongoing orders.

Practical notes
Working hours for this position are Monday through Friday, from 10:00 AM to 6:00 PM US Eastern Time, requiring availability during standard U.S. business hours. The initial workload distribution consists of approximately 60 to 70 percent frame purchasing activities, with prescription lens procurement responsibilities gradually increasing over time as you develop expertise and familiarity with company systems and vendor relationships. This remote position is open to candidates based in the Philippines or Latin America who can reliably work during the specified hours. Compensation ranges from $800 to $1,400 USD per month depending on experience and qualifications.
