Contract Administrator
Job description
About the role
Daily procurement operations are executed to keep procurement cycles moving in a focused and reliable manner. You will own the organization and accuracy of bid materials, evaluation inputs, and contract records to ensure compliant contracting proceeds on schedule and without disruption. This position requires a high level of ownership where you set priorities, share progress openly, and ask for help early to prevent delays in critical timelines. Because written communication becomes the record, you will document every step clearly so that decisions can be reviewed and built upon later by the team. Successful professionals in this space develop habits of taking notes, keeping commitments, and updating status so that the work is easy to review and extend. Teams value people who make their work transparent and structured, allowing others to understand, contribute, and trust the process without constant clarification. You will act as a steady force that keeps procurement workflows intact, supports vendors, and protects the integrity of the contracting process. By maintaining consistent standards, you enable the team to move faster while reducing risk and confusion across stakeholders.
Key facts
What you'll do
Procurement workflows are managed day by day, tracking tasks and documentation from initiation through closure to maintain a complete and auditable record. Bid packages are organized, structured, and reviewed in detail, and evaluation steps are supported to compare offers consistently and in line with set criteria. Contract administration activities are carried out systematically, including execution, change management, and monitoring to ensure strict adherence to terms and conditions. Stakeholders in Zambia receive timely and accurate support, with the role positioned in Lusaka or nearby to enable effective collaboration and access. You will verify that all documentation is complete, properly stored, and aligned with internal controls and regulatory expectations. The role contributes to risk mitigation by identifying gaps, omissions, or inconsistencies before they escalate into operational issues. You will coordinate with internal teams and external vendors to clarify requirements, confirm deliverables, and maintain alignment throughout the contract lifecycle. Regular updates and status reporting will be provided to ensure visibility into timelines, dependencies, and any factors that could impact commitments. By maintaining a detailed and disciplined approach, you help the team uphold standards, meet legal obligations, and protect organizational reputation.
Requirements
A Bachelor's degree in Law, Procurement, Management, or a similar field is mandatory for this role and must be documented as part of the application. At least 2 years of hands-on procurement experience, including contract administration, implementation, and monitoring, is required and should be demonstrated through concrete examples. Fluency in both written and spoken English is non-negotiable for clear correspondence with internal and external stakeholders. Competency across the Microsoft Office suite is required for documentation, reporting, and the management of contract files and records. Strong interpersonal and communication skills are required to work effectively with partners, vendors, and internal teams in a collaborative setting. The candidate must be based in or able to relocate to Lusaka, Zambia, with clear indication of readiness for in-person assignments. Previous experience in a regulated or compliance-sensitive environment is treated as a mandatory bar rather than a preference. Candidates must be able to provide verifiable proof of education, work history, and location during the vetting process. Any gaps in documentation or inconsistencies in stated experience will disqualify the application at this stage.
Practical notes
The assignment is based in Zambia with a focus on Lusaka for relocation, ensuring that the selected candidate can integrate smoothly with local teams. The position is full-time and follows an EEO framework that supports reasonable accommodation where applicable and permitted by law. Typical interview steps in this field usually test judgment, communication, and cultural fit as much as technical ability, so prepare accordingly. Be ready to describe a challenge you faced, what you did in response, and what you learned from the outcome during behavioral discussions. Most companies value honest answers over polished narratives, so focus on clarity, ownership, and lessons demonstrated. Whatever the specific role, thorough preparation is visible in the quality of your questions and the depth of your responses. Reviewing the company's product, the job description, and examples of your own past work before the conversation is the strongest step you can take.
Good to know
Procurement roles depend on accuracy in legal documents and administrative procedures, so attention to detail is essential in every task. Standard office software is widely used for contract files, records management, and reporting activities across teams. Clear communication skills make supplier and stakeholder interactions smoother, reduce misunderstandings, and support timely decision-making. You will often need to interpret requirements, restate them clearly, and confirm understanding to avoid errors later in the contract cycle.
Questions to ask
Worth asking in any interview include how the team measures success, who the role works with daily, what the onboarding looks like, and what the company is trying to achieve this year in its procurement function. Asking what past hires did well is a strong final question that shows interest in performance standards and team expectations. Keep the list short and pick the questions that matter most to you, focusing on impact, clarity, and growth.
Career growth
Career growth comes from taking on harder problems, making your work visible, and consistently delivering results that others can rely on. Look for opportunities to own outcomes, mentor others, and learn the business beyond your immediate team responsibilities. Growth in any career is driven by scope, results, and reputation, so seek tasks that stretch your skills and allow you to demonstrate impact. Take on work that is slightly uncomfortable, push through ambiguity, and ensure that your contributions are documented and shared appropriately.
