About the role
This role represents a foundational opportunity to define the employee experience for an entire office from the ground up. You will be the first Workplace hire in our Istanbul location, tasked with architecting the physical environment that will support the team's evolution. Your responsibilities will span from initial space planning to final decoration, ensuring the final output aligns with our global identity. You will cultivate and manage a network of local partners to execute all fit-out and operational needs. The position requires a high degree of autonomy to drive initiatives that boost collaboration and employee satisfaction. Success will be measured by your ability to create a compelling office that feels inclusive and efficient. You will act as a key liaison between the local team and the global leadership in Paris.

What you'll do
Orchestrate the complete end-to-end fit-out of the Istanbul office, translating abstract concepts into a functional and inspiring physical workspace.
Source, qualify, and manage a portfolio of local vendors in Turkey, including construction fit-out contractors, cleaning services, and facilities maintenance providers.
Curate a premium snack and beverage program by identifying and onboarding Turkish suppliers for coffee, tea, fresh food, and pantry essentials that reflect Voodoo's unique culture.
Design a flexible and social layout featuring distinct desk zones, focused meeting rooms, and dynamic common areas to encourage serendipitous collaboration.
Establish and maintain strong relationships with local suppliers, ensuring service levels are met and contracts are renegotiated or updated as necessary.
Partner closely with the Paris Workplace Manager and the local General Manager to define milestones, monitor budget adherence, and provide clear status updates.
Implement robust budget tracking and reporting mechanisms, delivering structured monthly analyses and proactively highlighting any financial risks or deviations.
Conduct regular employee satisfaction pulse checks, analyze the results, and develop actionable time-bound plans to address feedback and improve the environment.
Champion and execute small-scale team-building events and cultural activities that strengthen the Istanbul team's bond and connection to Voodoo's values.
Prepare the operational framework and processes necessary to scale the workplace function smoothly as the headcount expands rapidly from an initial 15 to over 30 employees.
Utilize Google Suite tools such as Docs, Sheets, and Slides to maintain clear documentation, track project progress, and communicate effectively with stakeholders.
Maintain a high level of organization to coordinate multiple moving parts, ensuring that deadlines are met and the office is ready for occupancy.
Proactively identify potential issues within vendor performance or employee feedback and resolve them efficiently to minimize disruption.
Serve as the primary local expert on workplace operations, translating global standards into practices that work within the Turkish context.
Requirements
Bring a minimum of 3 years of professional experience in Workplace, Office Management, or Facilities, with a preference for startup or high-growth settings.
Demonstrate fluency in both English and Turkish through written and verbal communication, capable of negotiating with suppliers and reporting to leadership.
Show advanced proficiency in Google Suite applications, including Docs, Sheets, and Slides, and have a working knowledge of Notion.
Provide evidence of a strong local vendor network in Istanbul covering fit-out, cleaning, and food services.
Illustrate solid budget management capabilities, including experience owning a P&L and presenting financial data to stakeholders.
Exhibit an entrepreneurial mindset, taking full ownership of projects and delivering results without needing detailed instructions.
Commit to being physically present in the Istanbul office a minimum of 3 days per week to foster team presence and collaboration.
Possess prior experience launching a brand-new office from scratch, which is highly valued for this position.
Have a background working in a high-growth technology or gaming environment, which is considered a significant advantage.
Nice to have
Prior experience in the mobile gaming or app industry is preferred to understand the sector's specific dynamics.
A proven track record of improving employee satisfaction through tangible workplace initiatives.
Knowledge of local Turkish business culture and regulations regarding freelance or contractor engagements.
Experience managing events or community-building activities for a professional setting.
Practical notes
This role is offered as a part-time contract.
You must be available to work on-site in Istanbul with a minimum commitment of 3 days per week.
