Junior Project Coordinator

About the role

You own the full life cycle of field projects from initial intake through final delivery, ensuring that scattered crews remain aligned on a daily basis while rigorously protecting data quality across all regions. You act as the primary operational link between planners and collectors on the ground, translating high-level plans into clear, executable steps. You will orchestrate intake by confirming task lists, verifying locations, and aligning crews before any field work begins, thereby preventing costly miscommunication. You will design build steps by assigning specific routes, balancing workloads, and verifying that all gear is ready and accounted for prior to deployment. You will guide review through careful checks of reports, media files, and logs against strict project guidelines to ensure consistency and accuracy. You will drive ship activities by consolidating completed work, identifying and resolving gaps, and handing over clean outputs to internal and external stakeholders in a timely manner. You will support partners by maintaining clear schedules, tracking expenses, and updating plans dynamically as on-the-ground conditions change. You will coordinate with remote teams spread across many countries to keep timelines realistic, manage expectations, and maintain smooth, continuous communication.

What you'll do

• Execute intake procedures for new field projects, verifying task lists, confirming site locations, and aligning crews prior to mobilization.
• Design build steps for each deployment, assigning optimal routes, balancing team workloads, and confirming the readiness of all necessary gear and equipment.
• Guide review processes by meticulously checking reports, media files, and audio logs against established project guidelines and quality standards.
• Drive ship activities by consolidating completed field work, identifying and closing operational gaps, and ensuring clean, deliverable outputs are handed over to stakeholders.
• Support partners and internal teams by maintaining detailed schedules, tracking project expenses, and updating plans in response to evolving field conditions.
• Coordinate workflows and timelines with remote teams located across multiple countries to keep schedules realistic and communication frictionless.
• Maintain data and image quality through systematic cross-checking of items, photographs, and recordings, ensuring that mapping services receive accurate and current information.
• Update project documents and operational plans in real time so that Project Managers can track progress clearly and reallocate resources without delay.
• Operate mobile data collection workflows that utilize 360-degree cameras, backpack imaging equipment, standard mobile phones, and drones in diverse environments.
• Contribute collected field data to one of the most widely used online mapping services globally, understanding the impact and reach of this information.
• Act as the central operational hub for field crews, managing routes, schedules, and on-the-ground logistics in demanding environments.
• Apply coordination and management experience to handle multiple concurrent projects while maintaining high standards of organization.
• Uphold a leadership style based on guidance and support rather than authority, fostering a collaborative field team culture.
• Ensure all field activities comply with project guidelines, quality thresholds, and client requirements throughout the project life cycle.
• Communicate proactively with Project and Program Managers to align planning, resolve issues, and adjust strategies as operational needs evolve.

Requirements

• Must bring three years of coordination or operational experience in demanding environments where attention to detail is critical.
• Must reliably handle budgets, routes, and schedules, demonstrating strong ownership and responsibility for operational outcomes.
• Must be fluent in English for daily communication, precise reporting, and clear coordination with international stakeholders.
• Must be comfortable using standard mapping products and common digital tools to facilitate effective collaboration and data management.
• Must be highly responsible and organized, with the ability to manage multiple priorities and meet strict project deadlines.
• Must possess a strong capacity for problem solving when unexpected issues arise in field operations or data collection workflows.
• Must be able to work independently and as part of a distributed team, maintaining productivity without direct supervision.
• Must demonstrate a commitment to quality by rigorously cross-checking items, images, and recordings before data submission.

Nice to have

• Experience operating in both Europe and North America while successfully managing international field teams.
• Familiarity with projects that support one of the most widely used online mapping services globally.
• Exposure to field data collection using mobile platforms, 360-degree cameras, backpacks, standard mobile phones, and drones.
• Previous work in a coordination role that required balancing workloads and optimizing routes for field crews.
