What you'll do
- Process bank transfers, payment allocations, and accounting reconciliations with precision to maintain accurate financial records.
- Manage invoicing, credit notes, commercial gestures, and contract administration to support transparent and compliant revenue operations.
- Handle incoming requests via emails, Jira tickets, and internal tools from Sales and Support teams while maintaining clear communication.
- Upload invoices on customer payment platforms such as Chorus and other client portals to ensure timely processing and visibility.
- Update client data, orders, and Purchase Orders (PO) in internal systems to keep records synchronized and error-free.
- Ensure accurate follow-up for B2B, B2C, and key accounts to prevent delays and resolve discrepancies proactively.
- Contribute to documentation and process updates to improve efficiency, reliability, and scalability of administrative procedures.
- Collaborate closely with Sales, Support, TAM, and Billing teams, as well as directly with clients including large accounts, to align on expectations.
- Maintain strict confidentiality and data integrity when handling sensitive financial and commercial information.
- Support ad-hoc requests and operational projects that strengthen the structure and automation of Sales Administration activities.
- Monitor key performance indicators related to invoicing, payments, and reconciliations to identify trends and drive improvements.
- Act as a first point of contact for administrative queries, providing timely and high-quality responses to internal and external stakeholders.
- Participate in initiatives that enhance the reliability of revenue flows and the integrity of client billing systems.
- Demonstrate ownership of tasks from intake to resolution, ensuring full traceability and accountability in all administrative actions.
Requirements
- Hold a current apprenticeship contract within the framework of an official apprenticeship program.
- Possess first experience (1-2 years) in Sales Administration, Billing, or a similar administrative role within a professional setting.
- Demonstrate good knowledge of Purchase Orders (PO) and order management processes from initiation to execution.
- Show familiarity with customer invoicing or payment platforms, such as Chorus, and related financial systems.
- Have basic accounting knowledge, including reconciliation practices and balance follow-up procedures.
- Be comfortable using standard Office tools and internal client consoles to perform routine administrative tasks.
- Exhibit strong communication skills, both written and verbal, to interact effectively with diverse stakeholders.
- Show team spirit and the ability to collaborate with multiple internal and external stakeholders across functions.
- Maintain excellent organization and attention to detail to manage high-volume tasks accurately.
- Demonstrate the ability to manage stress in a fast-paced, multi-channel environment without compromising quality.
- Ensure high-quality written communication, particularly for client-facing exchanges and formal documentation.
- Respect confidentiality and handle sensitive commercial and financial data with professionalism.
