About the role
You will own the end-to-end integrity of our medical records operations in a remote-first environment. You will design and execute practical processes that translate complex regulatory language into clear, auditable workflows. You will act as the central liaison between our clinical, legal, and operational teams to manage external audits from intake through remediation closure. You will oversee the performance of third-party vendors and internal teams to ensure consistent adherence to privacy and records management standards. You will partner closely with business stakeholders to identify risks and build sustainable solutions that strengthen our compliance posture. You will lead day-to-day coordination of medical records activities with a focus on accuracy, timeliness, and regulatory alignment. You will serve as a solutions-oriented advocate for quality care, ensuring that mental health remains treated with the same urgency as physical health.

What you'll do
Coordinate end-to-end medical records operations, ensuring accuracy, security, and compliance across all activities.
Lead day-to-day oversight of medical records workflows, managing priorities and resolving operational issues as they arise.
Partner with Legal, Privacy, Clinical, Financial Operations, and Partnerships to align on compliance requirements and risk mitigation.
Own the coordination of external audits, managing intake, findings review, and remediation closure from start to finish.
Interpret regulatory, contractual, and operational requirements and translate them into practical, scalable processes.
Manage and evaluate third-party medical records fulfillment vendors to ensure performance, quality, and policy adherence.
Monitor vendor and team performance, providing feedback, guidance, and corrective actions as needed.
Serve as a key point of collaboration for compliance-related concerns with business and clinical stakeholders.
Maintain concise and accurate documentation of processes, decisions, and audit findings for internal and external review.
Support the development and implementation of sustainable compliance frameworks that promote proactive risk management.
Champion best practices in healthcare privacy, medical records management, and audit oversight across the organization.
Contribute to the continuous improvement of the Compliance program by identifying gaps and driving process enhancements.
Act as a subject matter expert on records operations, ensuring alignment with evolving regulatory landscapes.
Promote a culture where mental health is treated with the same importance as physical health through rigorous and compassionate compliance.
Requirements
You must have 3+ years of related professional experience in managing or coordinating external audits, regulatory reviews, or similar oversight activities.
You must also have 5+ years of related professional experience in healthcare privacy, medical records, release-of-information processes, or health information management.
You must hold a Bachelor's degree in healthcare administration, health information management, compliance, or a related field.
You must have experience collaborating with business and other key stakeholders, including Legal, on compliance concerns and risks.
You must possess strong and concise communication skills, both verbally and in writing.
You must have 3+ years of demonstrated experience interpreting regulatory, contractual, and operational requirements.
You must be able to translate those requirements into practical, sustainable processes within a remote-first organization.
You must be eligible to work in the United States, currently hiring in most U.S. states except Hawaii.
You must be comfortable operating in a fully remote environment with structured hours to support work-life balance.

Nice to have
A Master's Degree and/or Juris Doctor or equivalent advanced training in healthcare law.
2+ years of experience in telehealth, privacy, and/or behavioral health compliance.
Experience working with third-party medical records fulfillment vendors.
Familiarity with Salesforce, Zendesk, electronic health record systems, and healthcare practice management platforms.
Compliance, privacy, audit, or health information management certification.
Experience overseeing operational workflows, vendors, staff, or cross-functional projects.
