About the role
In this dynamic position, you will play a crucial role in supporting Rillet's growth by establishing a robust operational framework for the People & Talent team. Your responsibilities will encompass managing the daily operations of our New York City office, coordinating candidate interactions, and ensuring a seamless onboarding experience for new employees. What you'll do
- Oversee the daily operations of the New York City office, ensuring a welcoming environment for candidates, managing new hire orientations, organizing team meals, planning events, and maintaining office supplies.
- Facilitate essential recruiting functions, including scheduling interviews, managing candidate communications, posting job openings, and maintaining applicant tracking system workflows while collaborating closely with recruiters and hiring managers.
- Manage the complete onboarding and offboarding processes, working in tandem with People Operations and IT departments to guarantee accuracy and timely execution of all tasks.
- Support key People Operations activities such as I-9 verification, conducting employment checks, updating HRIS, administering leave requests, ensuring compliance, and addressing employee inquiries.
- Create and implement scalable systems for repetitive tasks by enhancing documentation, utilizing AI automation, developing templates, and integrating various People and Talent tools for efficiency.
- Maintain a proactive approach to problem-solving, addressing issues as they arise and ensuring that all operational processes run smoothly.
- Document processes meticulously to enhance efficiency for team members and stakeholders, ensuring everyone is informed and aligned.
- Engage in continuous improvement initiatives, seeking out opportunities to streamline operations and enhance the overall employee experience.
Requirements
- A minimum of 3-5 years of experience in roles related to recruiting operations, people operations, business operations, workplace management, office administration, or similar operational functions.
- Exceptional organizational skills with the ability to juggle multiple priorities effectively, demonstrating accuracy and a keen eye for detail.
- A strong sense of ownership, with the ability to take initiative and work independently without needing constant direction, while consistently following through on assigned tasks.
- Comfortable navigating ambiguity and adept at transforming undefined challenges into clear, actionable steps.
- Excellent communication skills, ensuring that all stakeholders are kept informed and that processes are well-documented for the benefit of the team.
- A resourceful and inquisitive mindset, with a willingness to expand your responsibilities as Rillet continues to grow.
Nice to have
- Experience with Ashby or other modern Applicant Tracking Systems would be advantageous.
- Familiarity with platforms such as Rippling, Justworks, or AI-driven automation tools, as well as experience in an early-stage startup environment.
- A background in HR compliance or employee relations would be beneficial.
Skills & tools
- Proficiency in using various HRIS and ATS systems, with a strong understanding of recruitment and onboarding processes.
- Familiarity with automation tools and software that enhance operational efficiency.
- Strong analytical skills to assess processes and identify areas for improvement.
- Excellent interpersonal skills to foster positive relationships with candidates and team members alike.
