About the role

Key facts
What you'll do
- Manage the onboarding process for new hires by registering their data and assisting with related documentation, handling approximately 10 to 20 new employees each month.
- Process invoices and expense claims through our expense management system, ensuring timely and accurate financial transactions.
- Collaborate with other departments to fulfill delegated tasks and support various operational needs across the organization.
- Assist in the creation and updating of Standard Operating Procedures (SOPs) and maintain organized digital folders for efficient workflow.
- Participate in team meetings and contribute to discussions aimed at improving back-office operations and overall efficiency.
- Work closely with team members to provide comprehensive support for various administrative functions.
- In the General Affairs Purchasing team, facilitate the procurement process by obtaining estimates and contracts from suppliers, typically handling around five requests daily.
- Review and verify the content of estimates and contracts, ensuring accuracy and compliance with company standards, managing about ten documents each day.
- Input price data into our databases and assist with supplier registration processes as needed.
- Engage in ad-hoc administrative tasks such as email correspondence and phone calls to ensure smooth operations and communication.
Requirements
- A minimum of three years of experience in general administrative roles within management departments, such as HR, general affairs, or sales administration.
- Proficient in computer operations, particularly in business email communication and intermediate-level Excel skills, along with a typing speed that allows for efficient work.
- Possession of a disability certificate, ensuring eligibility for this specific role aimed at individuals with disabilities.
- Strong organizational skills and attention to detail to manage multiple tasks effectively.
- Ability to communicate clearly and effectively with team members and other departments.
- A proactive mindset, with a willingness to take initiative and suggest improvements to current processes.
- Adaptability to changing circumstances and the ability to work under pressure while maintaining high-quality output.
