About the role
This role owns the operational engine that powers Deeptune's hiring process from end to end. You are responsible for designing, executing, and continuously improving how we bring talent into the team. The position demands ownership of the full candidate lifecycle, ensuring every interaction reflects our standards of precision and care. You will define the workflows that govern screening, scheduling, and selection while removing manual overhead through smart systems. Success is measured by the health of the pipeline, the quality of the candidate experience, and the clarity of the data you produce. You will report directly to the Head of Talent and collaborate closely with hiring managers to align operations with business needs. This role is foundational to scaling Deeptune's people operations as we grow quickly in a high-impact environment.

What you'll do
Run candidate interview experience end to end, managing screens, take-homes, virtual loops, and full-day onsites across multiple teams with consistent execution and communication.
Manage complex scheduling across candidates, interviewers, and hiring managers, absorbing reschedules and conflicts before they reach the candidate to protect the integrity of the process.
Treat interviewer capacity as a metric you own rather than a constraint, tracking load, flagging saturation early, and helping scale the interviewer pool as volume increases.
Own candidate data in Ashby, including stages, tags, scorecards, and written rationale, ensuring the pipeline is trustworthy enough to support critical decisions.
Build the checks that prevent breakdowns, creating automated exception reports that surface missing feedback, stalled candidates, and inconsistent stage data before anyone notices manually.
Turn pipeline data into reporting hiring managers actually use, translating metrics into narratives around time-to-schedule, funnel conversion, interviewer load, and offer outcomes.
Be the person candidates remember at every stage, delivering clear, fast, and human communication that reflects the standards of Deeptune and Mercor.
Automate the prep instead of the warmth, setting up interviewer packets, candidate prep materials, and follow-ups that trigger correctly without manual reminders.
Own post-offer coordination and the handoff into onboarding, ensuring a smooth transition that maintains momentum and confidence.
Run Superdays, candidate dinners, and networking events end to end, handling logistics, travel, communications, and day-of execution so the experience reinforces our brand.
Partner with stakeholders to design on-site experiences that become a reason someone chooses to join Deeptune over other opportunities.
Find the most repetitive work on the team and remove it through automations, LLM workflows, Ashby's API, or any other fast path to efficiency.
Codify what our best recruiters do by hand into prompts, templates, and workflows that the entire team can reuse and scale.
Own the project to connect interview stage scores with on-the-job performance, using our evaluated rounds to predict success and improve hiring quality.
Maintain strict standards for written communication, ensuring clarity, directness, and professionalism in every interaction with candidates and hiring managers.
Requirements
You have 3+ years of experience in project management, recruiting operations, HR operations, or similar roles that require juggling complex workflows and stakeholder needs.
You are fluent in an ATS, currently using Ashby, and you learn new tools quickly, adapting your methods to leverage their full potential.
You already use AI daily and have built something with it, whether that is a scheduling automation, a sourcing workflow, a script that cleans your own data, or a prompt library your team relies on.
You have exacting attention to detail, triple-checking the time zone before you send an invite and verifying data integrity at every step.
You treat inefficiency as a personal problem, diagnosing the root cause when something breaks a second time instead of applying a temporary fix.
You write clearly and directly, adapting your tone for candidates, hiring managers, and internal stakeholders while maintaining a high standard of grammar and structure.
You are comfortable working in an in-office environment, required to work five days a week in our New York City office in the Financial District.
