The Material Coordinator owns the flow of materials from first check to final placement on site. Each day this role confirms schedules, resolves conflicts, and keeps crews supplied without delay. You will safeguard the integrity of inventory through condition checks and precise record keeping. The role requires constant communication to align vendors, fabrication teams, and field supervisors. What you'll do
Coordinating incoming freight and verifying delivery details against project needs in real time.
Organizing vendor windows and gate protocols with project leadership for smooth, conflict free unloading.
Confirming critical shipment timing two days out and again at twenty four hours notice to prevent surprises.
Directing prefabrication deliveries, packaging standards, and labeled staging with the fabrication team for efficient handling.
Checking documentation completeness for shop assemblies before acceptance on site to avoid rework.
Updating field supervisors and project managers on location changes or schedule shifts the moment they are confirmed.
Maintaining condition checks so stock remains protected and ready for immediate use upon request.
Supporting continuous progress by resolving access or receipt issues before they slow crews and impact milestones.
Serving as the primary on-site point of contact for all vendor deliveries, freight carriers, and material suppliers.
Coordinating all vendor delivery schedules with the GC, owner, and PM team and confirming access windows, gate procedures, and unloading requirements in advance.
Confirming delivery ETAs 48 hours and 24 hours in advance for all critical shipments and communicating confirmed windows to the PM team and field supervision.
Coordinating prefabrication deliveries directly with the fabrication shop and PM team and confirming delivery date, packaging requirements, labeling, and staging location before dispatch.
Ensuring prefabricated assemblies arrive with complete documentation including shop drawings, material certifications, and inspection records before acceptance on site.
Maintaining accurate logs of all received materials, inspections, and condition checks to ensure traceability and readiness for installation at any time.
Requirements
You must hold experience coordinating deliveries in construction environments and understand the pace and constraints of the field.
You must manage multiple vendor calendars while keeping communication clear, timely, and aligned with project priorities.
You must verify documentation accuracy and ensure records match physical inventory without exception.
You must work reliably onsite during standard business hours on location and be present when critical material events occur.
You must follow safety protocols and company policies while interacting with vendors, crews, and project stakeholders.
You must maintain confidentiality regarding project specific details, vendor information, and internal schedules.
You must use basic math skills to reconcile quantities, confirm counts, and resolve discrepancies accurately.
You must demonstrate professionalism in phone, radio, and written communication with all partners.
