About the role
We are on the lookout for an Equity Administrator to take charge of our stock plan operations and be the primary point of contact for all equity-related matters. In this role, you will manage the complete lifecycle of equity grants while working closely with the accounting team to ensure accurate reporting and adherence to compliance standards. Your expertise will be crucial in maintaining the integrity of our equity programs and supporting our employees with their equity-related inquiries.

What you'll do
- Oversee the comprehensive equity grant process, which includes preparing recommendations, securing necessary approvals, and managing exercises, vesting, and terminations of grants.
- Ensure the accuracy and integrity of participant records and various award types within the Shareworks platform.
- Serve as the go-to expert for both employees and executives on all matters related to equity programs, providing guidance and support as needed.
- Generate detailed reports outlining grant activities and vesting schedules to facilitate audits and meet regulatory requirements.
- Collaborate with the accounting department to assist in stock-based compensation reconciliations, prepare expense schedules, and create necessary workpapers.
- Maintain strict alignment of all equity administration activities with internal controls and the documentation of plans.
- Conduct regular audits of equity data to ensure compliance with company policies and regulatory standards.
- Facilitate training sessions and workshops for employees to enhance their understanding of equity programs and their benefits.
- Stay updated on industry trends and changes in regulations that may impact equity administration practices.
- Provide support during the annual audit process by preparing documentation and responding to inquiries from auditors.
- Assist in the development and implementation of policies and procedures related to equity administration.
- Foster a collaborative environment by working closely with HR and other departments to ensure integration of equity programs into overall employee compensation strategies.
Requirements
- A bachelor's degree in Finance, Accounting, Business, or a related field is essential.
- A minimum of 3 to 5 years of experience specifically in equity administration is required.
- Demonstrated ability to manage complex grant workflows and equity transactions effectively.
- Strong understanding of stock-based compensation accounting principles and experience with data reconciliation.
- Excellent communication skills, with the ability to engage effectively with stakeholders at all organizational levels.
- Attention to detail and a commitment to maintaining high standards of accuracy in all work.
Nice to have
- Experience with Shareworks or similar equity administration software is preferred.
- Familiarity with financial reporting and reconciliation processes.
- Previous experience in a publicly traded company or in a corporate finance role would be advantageous.
- Knowledge of current trends and best practices in equity compensation.
- Certification in equity compensation or related fields would be a plus.
Skills & tools
- Proficiency in Shareworks (preferred) and other equity administration software.
- Strong analytical skills with a focus on financial reporting and reconciliation.
- Ability to Microsoft Excel and other data analysis tools effectively.
- Familiarity with compliance regulations related to equity compensation.
