About the role
You are the operational backbone of Harper's recruiting function, owning the systems, the scheduling, and the training that let us hire at speed without dropping the bar. You will own Ashby end to end, ensuring the ATS is a clean, current system that supports confident decisions rather than confusion. You coordinate complex interviews, managing multi-round and super day logistics so that nothing slips through the cracks for candidates or interviewers. You will train interviewers, building and running Harper's calibration program so that every conversation is structured, fair, and aligned with our standards. You are the candidate experience layer, owning communications that are clear, warm, and fast even when the pace is intense. You support the Recruiting Lead in operationalizing sourcing campaigns and maintaining a healthy pipeline so bottlenecks are flagged early. This role exists because at ~100x growth, recruiting infrastructure is not a nice-to-have; it is how we avoid breaking as we move fast on-site, in person, with long days and very high standards.
Key facts
What you'll do
Operate Ashby as a system administrator, building and maintaining job pipelines, keeping candidate stages accurate, creating scorecards, managing interview plans, configuring automations, and ensuring data cleanliness.
Schedule and run logistics for multi-round interviews and super days, coordinating across candidates, interviewers, and founders so that confirmations, reminders, materials, and debrief structure are handled.
Own Harper's interviewer training program, onboarding new interviewers to scorecards, calibrating them on what good looks like, and holding the bar over time.
Be the candidate experience layer by owning communications at every stage, being clear, warm, and fast, and making candidates feel the seriousness of the process.
Support the Recruiting Lead in operationalizing sourcing campaigns, keeping pipelines healthy, and flagging bottlenecks before they become problems.
Coordinate complex interview workflows so that panels, group interviews, and super days feel effortless to everyone involved despite their complexity.
Maintain the standards that make Harper's high-velocity hiring possible, ensuring interviews are structured, calibrated, and aligned with evaluation criteria.
Act as the systems and coordination backbone so that interviewers can focus on assessment and candidates experience a seamless, professional process.
Manage the details that determine candidate perception, from stage accuracy to timely updates and organized materials.
Ensure that the recruiting machine runs smoothly on-site in San Francisco, supporting long days and fast decision-making.
Be the person who fixes what is broken in Ashby or the interview flow without being asked, taking total ownership of the operational layer.
Requirements
2-4 years in recruiting coordination, HR operations, or a people-ops adjacent role.
Hands-on experience with an ATS, with Ashby experience being a strong plus.
Demonstrated ability to coordinate multi-stakeholder interview processes, including panels, super days, and group interviews.
Strong written communication skills, proven by having been a primary point of contact for candidates.
Extremely organized, with a track record of managing high-volume scheduling without things falling through the cracks.
Based in San Francisco or willing to relocate.
Nice to have
Experience building or running an interviewer training or calibration program.
Prior work at a high-growth startup in a Series A-C environment.
Familiarity with structured interviewing methodology and scorecard design.
Experience working directly with a recruiting or people ops lead in a fast-paced environment.
Practical notes
On-site in San Francisco, Monday-Friday.
The hours are long and the pace is high.

COMPENSATION & BENEFITS
Salary: $85,000-$100,000 + performance bonuses & equity
Location: Monday-Friday, San Francisco, in-office
