About the role
The organization is seeking an organized administrator to help our clients maximize the value of the Filevine platform as a central technical partner. In this capacity, you will work directly with law firms to ensure their operational goals are met through precise system configuration and thoughtful workflow oversight. Your primary responsibility will be to act as an extension of their legal operations team, diagnosing gaps and designing digital structures that align with their specific practice areas. You will translate high-level business objectives into concrete system settings, ensuring that the technology serves the firm's strategy rather than complicating it. Success in this role requires a proactive mindset that anticipates client needs before they escalate into support tickets. You will own the integrity of the platform configuration, ensuring that data flows logically and securely across all touchpoints. This position demands a balance of technical acumen and interpersonal skill, as you will often explain complex system behavior to non-technical stakeholders. Ultimately, you will be the guardian of their Filevine environment, ensuring it remains efficient, scalable, and aligned with evolving legal industry standards.

What you'll do
Advise clients on system architecture and custom workflows to match their organizational needs and long-term growth plans.
Troubleshoot technical problems and create clear, accessible documentation to support user self-sufficiency and reduce future ticket volume.
Lead feature rollouts and identify process improvements to increase platform return on investment for the client's subscription.
Stay updated on the Filevine product roadmap, including LEX and upcoming milestones, to proactively inform clients of relevant enhancements.
Manage technical onboarding and offboarding processes to maintain data integrity and ensure a seamless transition at every stage.
Audit current business processes to find inefficiencies and recommend adjustments that improve digital tool alignment.
Coordinate closely with internal stakeholders to prioritize system changes that deliver the highest operational impact.
Serve as the main point of contact for configuration questions, ensuring that client questions are resolved accurately and promptly.
Implement best practices for system security, user permissions, and data hygiene across all client engagements.
Translate complex platform features into practical steps that legal professionals can adopt without extensive technical background.
Monitor system performance and usage metrics to identify trends and opportunities for optimization.
Support the creation of standardized templates that clients can deploy to accelerate their case management setup.
Provide ongoing guidance to help clients adapt Filevine to shifting regulatory landscapes and internal policy updates.
Document configurations and decisions in a centralized knowledge base to ensure continuity and ease of onboarding for future administrators.
Requirements
Hands-on experience administering Filevine or similar legal technology platforms in a professional services environment.
Understanding of legal workflows, regulatory compliance, and client service standards that govern the delivery of legal support.
Proficiency in managing SaaS ecosystems, including integrations, user provisioning, and process automation within a multi-tool environment.
Project management skills with experience leading cross-functional initiatives that involve legal, technical, and operational stakeholders.
Strong communication skills for training users, conducting office walkthroughs, and managing organizational change with empathy and clarity.
Ability to travel to client offices 3 to 4 times per week to provide on-site configuration support and hands-on guidance.
Willingness to relocate to Middletown, NY, or an existing willingness to relocate statement as defined by company policy.
Commitment to maintaining confidentiality and handling sensitive client information in accordance with established legal and security protocols.
Capacity to work independently and as part of a distributed team, managing priorities in a dynamic, deadline-driven environment.
Dedication to following established procedures while also identifying opportunities to refine internal documentation and standard operating practices.
