Onboarding Program Specialist
Job description
About the role
You are seeking a builder who can design, launch, and fully own the end-to-end onboarding experience for new Factory team members. This position is responsible for transforming the abstract mission of autonomous software engineering into a tangible, welcoming reality for every person who joins the company. You will not simply execute a static checklist; you will architect a living system that evolves alongside our rapid growth. Your primary ownership spans from the moment a candidate accepts an offer through their critical first 30 days, ensuring they feel confident and connected. You will act as both a strategic architect and a hands-on operator, switching between high-level planning and detailed execution within the same timeframe. Ultimately, you will ensure that every new hire internalizes the Factory vision and understands their vital role within it from day one.
Key facts
What you'll do
You will architect and manage the complete lifecycle of our onboarding program, taking responsibility for every touchpoint a new employee experiences. This involves designing and owning the entire onboarding journey, meticulously covering the pre-boarding phase, the first day, the first week, and the crucial first 30 days of employment. You will leverage artificial intelligence and automation to handle repetitive tasks, such as document routing, scheduling, FAQ management, and progress monitoring, thereby increasing efficiency. A core part of your role will be to own the complex handoff process from offer acceptance through to the first day, which includes managing background checks, immigration requirements, equipment provisioning, and all necessary paperwork. You will establish and monitor key performance indicators like new-hire satisfaction, feedback from managers, and early retention signals to measure the program's effectiveness. Furthermore, you will be expected to continuously refine and iterate on the onboarding experience based on quantitative data, qualitative feedback, and your own innovative instincts. This position requires close collaboration with cross-functional partners, including IT, Facilities, Payroll, HR Operations, and hiring managers to ensure a unified and seamless experience. You will also work directly with department leaders to develop specialized onboarding tracks that cater to the specific needs of different roles and teams. As the central point of contact, you will act as the connective tissue that bridges the People function with the broader business operations during a new hire's ramp-up period. You will also flex into recruitment coordination tasks as necessary to maintain a smooth and continuous candidate-to-employee lifecycle.
Requirements
You must possess a minimum of 4 years of relevant experience in onboarding, Human Resources operations, or a comparable role focused on building and running people systems. Ideally, this background is rooted in a fast-paced, high-growth startup environment where adaptability is essential. You should demonstrate a strong bias toward action, possessing the confidence to build processes and systems while they are actively in use. It is essential that you have a high level of fluency with modern AI tools and a genuine enthusiasm for utilizing them to automate and scale human resources workflows. You must be a seasoned project manager capable of successfully running multiple workstreams simultaneously without dropping the ball. An analytical mindset is required, allowing you to define clear metrics, diligently track performance, and translate complex data into a compelling narrative for the leadership team. Excellent written and verbal communication skills are non-negotiable for success in this role. You must be a person of low ego but high ownership, someone who is excited to not only design the system but also to personally execute tasks and jump in wherever the need arises.
