We are seeking several execution-oriented professionals to act as key collaborators with our leadership team. In this role, you will work closely with the CEO's Executive Operations Partner to oversee critical priorities and enhance operational efficiency as our organization expands.

What you'll do
- Serve as a strategic ally to the leadership team by ensuring alignment on business objectives and priorities.
- Identify and propose proactive solutions to operational challenges instead of waiting for directives.
- Develop and optimize internal processes to facilitate the company's growth and scalability.
- Foster strong interdepartmental relationships to act as a dependable point of contact for various teams.
- Streamline communication with leadership by effectively managing information flow.
- Oversee professional correspondence with key stakeholders, including investors, board members, clients, and potential hires.
- Organize intricate travel arrangements, meeting logistics, and significant corporate events.
- Manage day-to-day administrative responsibilities such as calendar oversight, expense tracking, and meeting preparation.
Requirements
- Exceptional organizational skills with a demonstrated ability to navigate changing priorities.
- A proactive mindset for identifying and addressing potential risks or scheduling conflicts.
- Quick to respond and comfortable making decisions in a fast-paced environment with frequent text-based communication.
- Meticulous attention to detail and a strong commitment to follow-through on tasks.
- Excellent professional communication abilities, maintaining a focus on confidentiality and discretion.
- Capability to excel in a dynamic, autonomous, and often ambiguous startup atmosphere.
- Must be able to work on-site five days a week at our San Francisco office.
Nice to have
- Previous experience supporting founders or C-suite executives.
- A professional background in the artificial intelligence, technology, or startup industries.
- Familiarity with growth-stage companies, particularly those in Series B or Series C funding rounds.
- A history of successfully organizing large-scale events, sales kickoff meetings, or offsite gatherings.
Skills & tools
- Proficiency in Slack for team communication.
- Experience using Notion for project management and documentation.
- Familiarity with customer relationship management (CRM) software, such as Salesforce.
- Knowledge of expense management tools like Ramp.
Practical notes
Our office is conveniently situated within walking distance of the Caltrain station, making it accessible for daily commuting. This position is a full-time, on-site role that necessitates a consistent presence in the office to support our leadership and operational needs effectively.
