About the role
You will serve as the administrative hub of our manufacturing facility, coordinating seamlessly across operations, leadership, human resources, accounting, vendors, and all employees. This role owns the day-to-day administrative functions of the facility, ensuring efficient office operations while acting as the central point of contact for both internal and external communications. You will intentionally drive unapologetic curiosity to support a highly-advanced low Earth orbit system that is changing the design, economics, manufacturing and service delivery associated with traditional satellite and terrestrial IoT systems. You will be 100% committed to innovating space-based communications and delivering actionable intelligence that expands global economies, protects space and our planet, and enhances our overall quality of life. You will own a diverse portfolio of responsibilities where no two days are identical, requiring adaptability and a solutions-oriented mindset. You will directly support a facility that ranges in size from 70 to 200 employees, ensuring alignment between daily administrative tasks and strategic business objectives. You will act as the trusted point of contact who ensures information flows clearly and efficiently across all departments and stakeholders. This position is based in Saratoga, California and is integral to the success of our growing operations.

What you'll do
Coordinate and schedule all facility meetings, ensuring conference rooms, equipment, and materials are prepared and ready for each session.
Serve as the primary recipient and distributor of all incoming mail, packages, and correspondence, routing items to the appropriate teams or individuals with precision.
Answer, screen, and direct incoming phone calls, capturing detailed messages and ensuring timely follow-up on all inquiries.
Maintain and update the facility's contact database and organizational charts, ensuring all records are accurate, current, and easily accessible.
Manage and order office supplies and standard laboratory equipment, monitoring inventory levels and placing purchase orders to prevent disruptions.
Support the onboarding of new employees by preparing orientation packets, coordinating access credentials, and communicating key administrative information.
Coordinate vendor interactions and service requests, tracking issues and ensuring resolution through consistent follow-up and documentation.
Process invoices and manage petty cash transactions, working closely with accounting to ensure timely payments and accurate records.
Oversee the maintenance and calibration of common facility equipment, scheduling service as needed to uphold operational standards.
Implement and monitor facility safety protocols, ensuring compliance with all relevant regulations and internal guidelines.
Organize and facilitate community engagement events and internal gatherings to strengthen team cohesion and external partnerships.
Maintain secure storage and tracking of sensitive documents, ensuring all records are stored in accordance with company policies.
Provide executive support by preparing briefing materials, managing calendars, and ensuring leaders have the information needed for critical meetings.
Monitor facility utilities and service contracts, coordinating with providers to address issues and optimize cost efficiency.
Act as the central liaison between departments, ensuring clear communication and alignment on priorities, timelines, and deliverables.
Requirements
Must be legally authorized to work in the United States without requiring sponsorship for this position now or in the future.
Must reside in the United States.
Must be at least 18 years of age.
Must have at least a high school diploma or equivalent.
Must have at least three years of progressive administrative experience in a fast-paced, multi-departmental environment.
Must demonstrate strong written and verbal communication skills with the ability to convey information clearly to diverse audiences.
Must be highly proficient in common office software suites, including word processing, spreadsheets, presentation, and email platforms.
Must be able to manage multiple priorities simultaneously while maintaining attention to detail and accuracy in all tasks.
Nice to have
Experience supporting executive teams in a high-growth, technology-oriented environment.
Familiarity with inventory management systems and procurement processes.
Basic understanding of IoT, satellite communications, or space systems.
Experience coordinating facilities for organizations operating in regulated or safety-critical environments.
Practical notes
This role is full-time, with standard business hours expected.
Travel is not currently required for this position.
