About the role
You will manage the end to end lifecycle of document control for securitization files under strict version control protocols. You will coordinate meeting logistics and minute taking for cross functional working sessions with legal, compliance, and operations stakeholders. You will execute data integrity checks and maintain meticulous audit trails for all documentation flowing through the concentration bank credit union securitization pipeline. You will support the preparation of file level dossiers required for regulatory review and internal governance committees. You will administer the reconciliation of indexed artifacts against source documentation to ensure zero tolerance for discrepancies. You will interface directly with the Indigenous Employee Resource Group to align operational tasks with cultural protocols and strategic objectives. You will track key performance indicators related to operational risk and compliance timeliness, reporting trends to senior stakeholders. You will act as a liaison between technical teams and Indigenous initiatives, ensuring that priorities stemming from Truth and Reconciliation commitments are reflected in daily workflows.

What you'll do
Establish a centralized tracking register for securitization documents and maintain version control discipline across all file stages.
Implement naming conventions and folder structures that adhere to internal standards and facilitate seamless retrieval during audits.
Perform quality assurance sweeps on uploaded documentation to identify missing pages, incorrect stamps, or misfiled materials.
Coordinate scheduling for stakeholder reviews, ensuring that deadlines are communicated clearly and action items are tracked in a follow up log.
Maintain a secure repository of electronic files, applying encryption and access controls in line with corporate information security policies.
Generate status dashboards that visualize key milestones, bottlenecks, and upcoming deliverables for the concentration bank credit union securitization team.
Conduct file level reconciliations between source systems and document management platforms to ensure accuracy and completeness.
Support the compilation of evidence packages required for internal control testing and external examination procedures.
Facilitate communication between the securitization team and the Indigenous Employee Resource Group to advance specific Truth and Reconciliation initiatives.
Prepare narrative documentation that explains operational processes, control objectives, and exceptions for training and knowledge transfer purposes.
Assist in the administration of surveys or feedback instruments to capture lessons learned and improvement opportunities from process engagements.
Perform ad hoc analysis on cycle time metrics, identifying trends and proposing corrective actions to stakeholders.
Maintain a current inventory of templates, checklists, and procedural guides, ensuring they are reviewed and updated on a periodic basis.
Act as the first point of contact for inquiries related to document retrieval, filing status, and procedural clarifications for internal partners.
Requirements
You are currently enrolled in a Business Administration program or a closely related field of study at a post secondary institution.
Preference is given to candidates who are affiliated with or have completed studies at the First Nations University of Canada.
You are eligible to return to your academic program following the completion of the internship term.
You possess strong written and verbal communication skills, enabling you to interact effectively with stakeholders at all organizational levels.
You demonstrate a solid understanding of professional document management practices and the importance of maintaining audit trails.
You are proficient in standard office productivity software, including word processing, spreadsheet, and presentation tools.
You exhibit a high level of attention to detail, with the ability to manage multiple tasks and prioritize competing demands in a fast paced environment.
You are comfortable working independently and as part of a collaborative team, showing initiative when ownership is required.
You have a clean criminal record and can successfully pass a background check as part of the onboarding process.
You are legally authorized to work in Canada and not restricted by immigration laws from accepting student based employment.
