About the role
You will own the complex lifecycle of commercial mortgage files from the initial letter of intent through to final funding, ensuring every detail aligns with our strict internal guidelines. You will act as the central communication hub, connecting account managers, underwriters, funding specialists, and compliance teams to keep deals moving smoothly. You will challenge outdated processes by proposing smarter workflows that improve speed and accuracy for the entire commercial mortgage team. You will maintain a constantly updated pipeline report that provides real time visibility into the status of every file for senior management. You will provide high level administrative and clerical support to the manager, handling special projects that require precision and discretion. You will network proactively with clients and brokers to gather necessary documentation and clarify requirements before issues arise. You will serve as a liaison to external business partners, ensuring they have the information needed to support successful transactions. You will help reshape how commercial banking works for Canadian businesses by delivering reliable, connected, and efficient mortgage experiences.
Key facts
What you'll do
Coordinate commercial mortgage files from LOI acknowledgement through funding while adhering to company lending guidelines.
Update and maintain the commercial mortgage pipeline report to reflect the current status of every deal in progress.
Liaise between account managers, underwriting, funding, and compliance to resolve questions and close gaps in file information.
Provide specialized administrative and clerical support to the manager, including preparing summaries and organizing documentation.
Network with clients, brokers, and internal stakeholders to collect documentation and confirm transaction details.
Act as a communication bridge between internal departments to ensure alignment on requirements and timelines.
Support special projects requested by senior management that require analytical thinking and attention to detail.
Verify that all file components meet compliance standards before advancing to the next stage of the mortgage process.
Identify bottlenecks in the workflow and suggest practical improvements to increase team efficiency.
Serve as the primary point of contact for external partners regarding file status and required actions.
Monitor deal progress and escalate issues promptly to prevent delays in funding.
Assist in maintaining accurate records that support audits and regulatory reviews.
Promote best practices across the team by sharing knowledge and successful file management techniques.
Support the manager in achieving departmental goals related to commercial mortgage productivity and compliance.
Requirements
You must possess a diploma, degree, or other certificate from a post-secondary institution.
You must bring a demonstrated history of delivering exceptional customer service in a complex environment.
You must have proven experience working with commercial mortgage files or a related credit product.
You must be highly proficient in Microsoft Office, especially in the use of Word, Excel, and PowerPoint.
You must have strong written and verbal communication skills that enable you to interact effectively with internal and external stakeholders.
You must be able to manage multiple priorities in a fast paced environment while maintaining a high level of accuracy.
You must be comfortable working independently and as part of a collaborative team.
You must be willing to relocate to Toronto or the surrounding area if required for the role.
Nice to have
Experience with commercial mortgage administration or a related banking function.
Knowledge of Canadian banking regulations as they apply to commercial lending.
Familiarity with CRM or loan administration software platforms.
Experience supporting special projects that require analysis and concise reporting.
A background in financial services or business administration.
Practical notes
This is a full time position based in the Toronto area.
Relocation support may be available for candidates who are required to move to the Toronto region for this role.
