This position exists to ensure that growth initiatives move forward with clarity and precision. You will support the real estate and development teams by organizing information, coordinating documentation, and maintaining rigorous standards across pipeline materials. Your role keeps leaders prepared and partners aligned as the portfolio expands.
The position is based in Dallas, Texas, and operates on a hybrid schedule with travel as needed for site visits, broker meetings, and market assessments. The annual compensation for this role is $65,000.00 USD.
What you will do
You will structure deal data by managing LOI dates, deadlines, and critical points so that opportunities are tracked reliably. You will organize contracts, leases, and site materials with consistent naming and clear folder structures so teams can locate files without delay. You will own meeting flows for real estate committees, capturing notes and action items and ensuring follow-up until items are closed.
You will prepare and ship pre-tour packets and agendas, aligning travel plans, site information, and logistics before teams arrive on location. You will maintain the five-year real estate pipeline in systems and trackers, updating maps, presentations, and deal notes so market stories remain accurate and current. You will update CRM records and shared storage with exactness, giving partners a dependable view of progress and status.
You will route market research, broker materials, and demographic notes to the appropriate stakeholders at the right moments. You will support ICSC events and partner conferences by managing registration details, schedules, contact lists, and follow-up tracking. You will learn site selection patterns and lease language by working alongside the real estate team during active portfolio projects.
Your coordination will help the portfolio grow by keeping expansion initiatives organized, visible, and ready for decision-makers.
What you bring
You bring at least two years of experience in administrative coordination or real estate support. You handle documents and data smoothly even while managing shifting priorities and tight timelines. You are comfortable using software, CRM systems, and shared drives while maintaining exact attention to detail.
You communicate with clarity and professionalism across brokers, landlords, executives, and internal partners. You show up with steady energy, strong follow-through, and a commitment to accuracy.
Growth opportunities
This role includes exposure to site selection, lease negotiations, and market planning that shapes portfolio strategy. You will work beside the real estate team to understand how these activities influence portfolio decisions and support long-term growth.
Tools and systems
You will work with real estate software, lease administration tools, CRM platforms, pipeline trackers, and shared document storage. Experience with ICSC events and related market conferences is valuable in this role.
