About the role
The Dispatch Coordinator at DH Pace owns the daily scheduling of field technicians to ensure seamless execution of service calls across assigned territories. This role owns the responsibility of collecting, finalizing, and submitting job details for processing to keep workflows accurate and timely. The hire will continually verify that technician schedules are cleared of completed tickets while managing open tickets for materials, billing, and voided items. They will assist the estimating team by providing service quotes when required and support billing paperwork to meet strict customer document requirements. The position owns the creation and maintenance of service tickets to guarantee that service dates are reliably met. In addition, this role provides technical and mechanical troubleshooting assistance to field technicians as issues arise on complex service calls. Finally, the Dispatch Coordinator will supply accurate work orders and picking lists to the warehouse so inventory is pulled correctly and efficiently.

What you'll do
Coordinate and schedule technicians to customer job sites while collecting, finalizing, and submitting job details for processing.
Continually manage technician schedules to ensure completed tickets are cleared and open tickets are assigned correctly for materials, billing, and voided items.
Run, review, and manage department reports to confirm that the department is meeting customer expectations and internal commitments.
Assist with billing paperwork and ensure all customer billing document requirements are satisfied accurately and on time.
Create and maintain service tickets to uphold service dates and prevent scheduling conflicts or delays.
Collaborate with the estimating team to develop and provide service quotes when required for new or modified scope.
Provide field technicians with technical and mechanical troubleshooting support to resolve issues efficiently in the field.
Deliver accurate work orders and picking lists to the warehouse to facilitate correct inventory pulling and order fulfillment.
Maintain strong communication with both internal teams and external customers to uphold high satisfaction levels.
Perform other responsibilities as assigned by management to support operational needs and strategic initiatives.
Adapt to shifting priorities and workload demands while maintaining attention to detail and process integrity.
Support continuous improvement efforts by identifying scheduling inefficiencies and proposing practical solutions.
Ensure compliance with company policies, safety standards, and documentation procedures in every dispatch activity.
Act as a key liaison between field operations, warehouse, and administrative departments to streamline service delivery.
Utilize Microsoft Office Suite and dispatch systems to track, report, and communicate job status information clearly.
Requirements
Must hold a High School diploma or equivalent credential as the minimum educational foundation.
Must demonstrate excellent communication skills with a focused commitment to superior customer service in every interaction.
Must possess strong time management abilities, remain highly organized, and excel at multitasking in a fast-paced environment.
Must have prior experience using Microsoft Office Suite, which is preferred and considered essential for the role.
Must show prior experience in the door industry, as this background is preferred for technical understanding.
Must have dispatch or high-volume administrative experience, which is preferred although not strictly required for eligibility.
Must be able to pass employment verifications, background checks, drug screening, and driving record review if applicable.
Must maintain professional conduct and adhere to company policies, safety protocols, and quality standards consistently.
Must be legally authorized to work in the United States without sponsorship requirements at this time.
Nice to have
Preferred experience working within the door industry for better technical comprehension of products and services.
Familiarity with dispatch software, scheduling systems, and service management tools used in field operations.
Understanding of billing and documentation processes related to commercial service contracts.
Ability to interpret work orders, picking lists, and inventory documentation with minimal guidance.
Experience supporting field technicians with troubleshooting and problem resolution in real time.
Comfort using Microsoft Office Suite at an advanced level for reporting, scheduling, and data tracking.
Practical notes
This is a full-time position with standard business hours as defined by operational needs.
Travel is not required for this role as all work is performed at the Tempe, AZ location.
