About the role
The Service Support Representative at Overhead Door Company of St. Louis™, a DH Pace Company, Inc., serves as the primary administrative liaison for commercial service operations. In this capacity, you will ensure seamless communication between customers, technicians, and management while owning the accuracy and completeness of customer portals from initial entry through final closure. You will represent DH Pace in all external interactions, maintaining a professional and courteous demeanor at all times. You will directly support the department manager by processing and organizing critical paperwork related to planned maintenance programs. This position requires a high level of ownership over incoming documentation and data integrity. You will act as the central hub for service information, verifying that vendors, invoices, and service tickets align correctly. Ultimately, you ensure that service technicians have the precise details needed to complete every job efficiently.
What you'll do
- Perform administrative office support, including answering telephone calls, utilizing various software systems, filing, scanning, and e-fax.
- Assist the department manager in day-to-day activities and paperwork, including customer-planned maintenance programs.
- Receive or verify vendor invoices and enter service tickets, sales leads, and sales orders with meticulous accuracy.
- Collect and process incoming cash and checks from technicians in a secure and timely manner.
- Demonstrate the ability to multi-task, work in a fast-paced environment, and accommodate some overtime as business demands require.
- Maintain customer portals, ensuring all information is updated promptly upon completion of services.
- Act as the main communication point for residential and commercial customers, representing the company professionally.
- Ensure service technicians receive all necessary information and documentation to perform their duties without delay.
- Process incoming documentation related to sales leads and service tickets, confirming data integrity.
- Support the commercial operations team by handling logistical and administrative requests as assigned.
- Complete filing, scanning, and electronic faxing tasks to support departmental workflows.
- Verify the accuracy of records within customer portals after service engagements are concluded.
- Handle cash and check collections from technicians, documenting all receipts appropriately.
- Adapt to shifting priorities and requirements in a dynamic, customer-focused environment.
- Perform other responsibilities as assigned to support the broader goals of the department.

- Proven ability to implement process improvements within administrative contexts.
- Must have excellent communication and organizational skills and a good mechanical and mathematical aptitude.
- Must be able to effectively communicate with customers and represent the company in a professional manner.
- Successful completion of employment verifications, background check, drug screen, and driving record (if applicable) required in advance of hire.
