About the role
Commure is actively searching for a Workplace Experience Manager to take charge of U.S. new hire integration and the daily rhythm of our Mountain View office. This is a hands-on position where you will design, develop, and implement programs that guide new hires from offer acceptance through their first three months, while also ensuring the headquarters runs smoothly. You will own the entire employee journey in the U.S., creating a structured and welcoming environment from pre-boarding to the end of the initial ramp-up period. In this role, you will manage vendor relationships, oversee office operations, and use data to continuously refine the employee experience. You will act as the operational backbone for the Mountain View location, ensuring compliance, safety, and a high standard of service delivery. The ideal candidate is a proactive leader who thrives on ownership and can manage multiple priorities in a fast-paced startup environment. You will be a strategic partner to hiring managers and a trusted point of contact for all workplace-related needs.

What you'll do
- Manage the entire U.S. onboarding process for new employees for their first 90 days, ensuring a consistent and high-quality experience.
- Lead weekly new hire orientations and confirm readiness for Day 1, including equipment, systems, and workspace setup.
- Create and update onboarding materials, manager guides, and 90-day plans to improve clarity and execution for all stakeholders.
- Collaborate with hiring managers to develop specific onboarding plans tailored to the needs of new roles and teams.
- Implement automation and AI to streamline tracking and improve visibility for onboarding tasks and deadlines.
- Monitor and report on new hire readiness, completion rates, and feedback to identify trends and drive improvements.
- Identify areas for improvement in onboarding and implement solutions that enhance efficiency and employee satisfaction.
- Create and deliver programs that enhance employee connection and collaboration across the U.S. team.
- Organize on-site events, recognition activities, and company celebrations to foster a strong community culture.
- Work with Marketing on employer branding and internal communications to ensure a cohesive employee narrative.
- Use feedback and participation data to refine programs within budget, ensuring resources are allocated effectively.
- Oversee daily operational standards for the Mountain View office, maintaining a professional and efficient environment.
- Act as the main point of contact for workplace issues and resolve them promptly to maintain a positive employee experience.
- Partner with Facilities, IT, and Security to maintain a safe and welcoming office environment for all team members.
- Track office utilization and service trends to drive ongoing improvements in space and resource management.
- Manage vendor relationships, contracts, and renewals to ensure service levels and cost efficiency are met.
- Collaborate with Finance on budgets, approvals, and expense reporting to maintain fiscal responsibility.
- Maintain compliance records, safety documentation, and workplace postings to meet regulatory requirements.
- Establish clear service expectations for office support staff to ensure alignment and accountability.
- Develop the operational framework for the function and advocate for future resources as the company scales.
- Recruit and manage additional support staff as the function expands to meet growing operational demands.
Requirements
- 7 or more years of experience in workplace experience, onboarding, office operations, or a related People function.
- Proven ability to independently manage onboarding programs from pre-boarding through 90 days without constant oversight.
- Experience supporting an office with 300 to 500 on-site employees or similar complexity in operational scope.
- Experience supervising a small team, contractors, or vendors to ensure deliverables are met on time and to a high standard.
- Strong skills in facilitation, project management, and written communication to coordinate across departments and stakeholders.
- Ability to work on-site in Mountain View every Monday, Wednesday, and Friday to maintain consistency and presence.
- Demonstrated experience using Excel/Google Sheets to manage data, track metrics, and generate reports.
- Familiarity with HRIS systems to streamline employee data and onboarding workflows.
- Experience with workflow or project management tools to organize tasks, track progress, and monitor deadlines.
- A commitment to following detailed processes and ensuring compliance with company policies and procedures.
- The capability to manage multiple projects simultaneously while maintaining attention to detail and quality.
- Willingness to adhere to information security policies, protect company assets, and report any security risks promptly.
- Readiness to acknowledge and comply with annual requirements regarding policies and security training.
- A proactive mindset to identify operational gaps and take initiative in resolving issues before they escalate.
