About the role
You will own the accuracy and timeliness of vehicle repair estimates for our reconditioning operation. This position requires you to review damaged vehicle photos and translate them into precise repair cost projections. You own the end to end flow of information between our repair shops and internal management teams. Your work directly supports the speed and quality of our vehicle reconditioning pipeline. You will coordinate scheduling and pricing discussions with external repair facilities on a daily basis. The role demands proactive communication to keep all stakeholders aligned on repair status and timelines. You are responsible for maintaining organized records that reflect every estimate and decision made during the reconditioning process. This position operates within a fast paced environment where reliability and attention to detail are essential to success.

What you'll do
Review photos of damaged vehicles and help estimate repair costs measured by accuracy, number of estimates, and turnaround time.
Coordinate with repair shops to collect quotes, pricing, and service details for incoming vehicle repairs.
Schedule repair appointments for vehicles being sent to external repair facilities in a timely manner.
Organize and process invoices for repair services with a focus on completeness and correctness.
Respond to calls and emails from management with concise updates on scheduling and repair status.
Support high volume estimating and appointment coordination in a fast paced reconditioning environment.
Maintain organized records of repair estimates, appointments, and communications for audit and reporting.
Follow up with repair shops and internal teams to ensure deadlines are met and commitments are honored.
Identify and resolve discrepancies or communication gaps between shops and management before they escalate.
Use internal systems and communication tools such as email, Google Drive, and Slack to track workflow and status.
Perform data entry and documentation tasks with speed and accuracy to support operational efficiency.
Assist with special projects related to reconditioning processes when requested by management or operations.
Contribute feedback on estimating procedures to help refine workflows and improve overall accuracy.
Support the shift schedule of Monday to Thursday, 4:30 PM to 3:00 AM, which includes a $1.50 per hour shift premium.
Requirements
A high school diploma or equivalent is required for this position.
You must demonstrate proven ability to communicate effectively with management, vendors, and internal teams in a clear and professional manner.
You have the ability to identify and analyze scheduling, estimate, or invoice discrepancies and escalate issues appropriately when needed.
You maintain a professional and approachable communication style with a commitment to delivering a positive customer experience.

Practical notes
The shift schedule for this role is Monday to Thursday, 4:30 PM to 3:00 AM, which includes a $1.50 per hour shift premium.
This is an existing, permanent full-time employment position.

You will work on site at the reconditioning facility in Mississauga, Ontario, Canada.
