About the role
ClearView Healthcare Partners is seeking an Office Manager for our New York City office to ensure a well-run, welcoming, and high-performing workplace. This role is responsible for office operations, team building and culture, and people management, while partnering with internal functions and external vendors to deliver consistent and effective office experience. You will own the end-to-end management of the local office environment, driving operational excellence and employee engagement on a daily basis. This position requires a proactive leader who can balance strategic planning with detailed execution to support the needs of a growing consulting practice. You will work closely with peers and senior stakeholders to uphold company standards and enhance the overall workplace experience. The role provides direct impact on culture, service quality, and operational efficiency for the New York team.

What you'll do
- Oversee all office operations and day-to-day administrative functions to ensure a smooth, welcoming, and efficient workplace.
- Act as the primary point of contact for building security, access control, and physical safety protocols to maintain a secure environment.
- Manage office budgets, coordinate with Finance on planning cycles, and ensure cost-effective procurement of supplies and services.
- Partner with corporate functions including IT, HR, Finance, Compliance, and Facilities to align office initiatives and policies.
- Plan and execute office programs such as company-wide meetings, ergonomic support, town halls, and other workplace services.
- Ensure office and kitchen supplies are appropriately stocked and oversee reception or administrative support staff as needed.
- Coordinate meetings and onsite logistics, including agendas, minutes, space reservations, catering, and vendor management.
- Liaise with external vendors such as building management, maintenance providers, and office services partners.
- Assist with office moves, fit-out activities, and refurbishment coordination to support growth and workplace optimization.
- Maintain the office seating chart and support forward-looking space planning to accommodate team changes.
- Negotiate and manage contracts for office-related services, ensuring compliance, quality, and value for money.
- Run office programs that foster engagement, such as company events, wellness initiatives, and recognition activities.
- Ensure compliance with local health and safety regulations, emergency procedures, incident reporting, and drills.
- Serve as a key collaborator for office-related projects with global teams to align standards and service levels.
- Gather feedback from internal stakeholders and propose actionable improvements to office operations and processes.
- Support new hire onboarding with desk setup, access provisioning, and orientation to the office environment.
Requirements
- Bachelor's degree or equivalent practical experience.
- Demonstrated experience in an office manager, administrative leadership, or operations role.
- Strong understanding of office operations, facilities management, and workplace services.
- Excellent interpersonal and communication skills, with the ability to engage with senior stakeholders and vendors.
- Proven ability to manage budgets, control costs, and oversee procurement processes.
- Experience with office technology systems, including scheduling tools, access control, and administrative platforms.
- Strong organizational skills and attention to detail in managing multiple priorities and deadlines.
- Ability to work independently and as part of a distributed global team, aligning with company values.
- Flexibility to adapt to changing priorities and support ad hoc projects as needed by the business.
