We are actively recruiting a Project Administrator to join our Mission Critical team. This role is fundamental to the success of our projects, providing essential administrative and organizational support from intake through closeout. The ideal candidate will ensure that all project documentation is accurate, controlled, and compliant. You will thrive in a dynamic setting, working alongside Project Managers, Commissioning Leads, and multidisciplinary teams. This position demands superior organizational abilities, meticulous attention to detail, and strong collaborative skills.
Key Responsibilities
Provide comprehensive administrative support to Project Managers, Commissioning Leads, and project teams across multiple concurrent mission-critical engagements.
Convert complex technical and project information into clear, organized, and user-friendly documentation for diverse audiences.
Prepare, format, number, label, and maintain all project documentation in strict accordance with company procedures and client-specific standards.
Track the complete lifecycle of project documents, enforcing rigorous version control and maintaining precise records of document status at all times.
Maintain orderly physical and electronic project filing systems to guarantee that documents are current, easily accessible, and properly archived for future reference.
Conduct thorough reviews of documentation for completeness, accuracy, formatting consistency, and adherence to requirements before distribution.
Coordinate with project team members to gather necessary documentation and ensure all deliverables are submitted on schedule.
Distribute project-related documentation and communications to internal stakeholders, clients, subcontractors, and external partners as required.
Assist in the enhancement of document control processes, identifying opportunities to improve documentation workflows and efficiency.
Prepare routine and ad hoc project reports, meeting minutes, status updates, and project dashboards to keep leadership informed.
Support project closeout activities by systematically organizing and compiling final project documentation packages for acceptance and archiving.
Assist with scheduling meetings, coordinating project logistics, and performing other administrative duties as assigned by management.
Position Requirements
Hold an Associate's degree in Business Administration, Project Management, Engineering, Construction Management, or a closely related field; equivalent professional experience will be considered.
Possess a minimum of 2+ years of proven experience in project administration, document control, project coordination, or administrative support roles.
Demonstrate strong organizational skills with exceptional attention to detail and the ability to manage numerous tasks simultaneously.
Exhibit excellent written and verbal communication skills in English.
Show proficiency with the Microsoft Office Suite, including advanced use of Excel, Word, Outlook, and PowerPoint.
Proven ability to manage multiple priorities and deadlines in a fast-paced project environment.
Capable of working independently with minimal supervision while effectively collaborating with cross-functional teams.
Preferred Experience
Previous experience working on data center projects is highly valued.
Familiarity with CxAlloy, Procore, and/or Autodesk software platforms.
Exceptional oral and written communication skills in English.
Willingness to undertake domestic travel as required by project needs.
