About the role
This position is the first dedicated role focused on maintaining and optimizing our outbound sales infrastructure. You will work closely with the GTM Engineer to ensure that all sales tools, platforms, and data are functioning smoothly and efficiently. Your efforts will enable the sales team to focus on their core activity - selling - by reducing technical disruptions and streamlining operational processes. This role is vital for scaling our outbound sales efforts and ensuring data integrity across multiple systems. You will be responsible for configuring, managing, and troubleshooting various sales enablement tools, as well as maintaining accurate and clean data to support effective prospecting and outreach campaigns. The position offers an exciting opportunity to develop expertise in sales operations, infrastructure, and automation within a fast-growing company environment.

What you'll do
- Configure, launch, and manage outbound email campaigns across multiple channels, including setting up list imports, defining sequence settings, performing quality checks, and handling bounces to ensure deliverability.
- Serve as the first point of contact for the sales team regarding questions or issues related to GTM tools, data management, and operational procedures.
- Translate technical updates or operational changes into clear, actionable instructions for sales representatives to ensure smooth adoption and minimal disruption.
- Maintain and optimize the Trellus dialer setup, including call routing, disposition management, and monitoring number health to maximize outreach efficiency.
- Oversee the integrity of HubSpot data, including maintaining accurate fields, managing segmentation, creating and updating workflows, and deduplicating contacts to prevent data clutter.
- Manage the health and setup of Gmail and Google Workspace infrastructure, including configuring inboxes, filters, labels, and provisioning accounts for new team members.
- Identify and resolve data issues such as duplicate contacts, invalid email addresses, broken sequences, or incorrect data before they impact the sales pipeline or outreach efforts.
- Document all configurations, processes, and workflows related to sales tools and infrastructure to preserve institutional knowledge and facilitate onboarding of new team members.
- Generate prospecting lists and custom reports based on specific criteria such as territory, revenue tier, industry, or other segmentation parameters to support targeted outreach campaigns.
- Collaborate with the GTM Engineer and sales leadership to identify opportunities for automation and process improvements within the sales infrastructure.
- Monitor the performance of outbound campaigns and troubleshoot technical issues to ensure high deliverability and engagement rates.
- Assist in onboarding new sales team members by provisioning accounts, setting up tools, and providing training on operational procedures.
- Maintain documentation of all operational procedures, system configurations, and troubleshooting guides to ensure continuity and scalability.
- Stay informed about updates and best practices related to sales tools and infrastructure to recommend improvements and ensure compliance with industry standards.
Requirements
- 0 to 2 years of experience in sales operations, sales enablement, or administrative support roles, including internships.
- Demonstrated ability to learn new software platforms quickly; prior exposure to tools like Trellus, HubSpot, Lemlist, or similar is beneficial but not required.
- Strong organizational skills with a focus on data hygiene, accuracy, and attention to detail.
- Excellent written communication skills for documenting processes, procedures, and troubleshooting steps.
- Proactive problem-solver with the ability to identify issues such as broken sequences, bounced lists, or data inconsistencies before they escalate.
- Ability to work independently and collaboratively within a team environment.
- Must be located in or willing to relocate to San Francisco, as this is an on-site position.
- Basic understanding of email deliverability concepts, including SPF, DKIM, and warm-up procedures, is a plus.
- Familiarity with CRM systems, email outreach tools, and data management practices is advantageous.
- Ability to manage multiple tasks simultaneously while maintaining high accuracy and quality standards.
- Willingness to adapt to new tools and processes as the company scales and evolves its sales infrastructure.
Nice to have
- Experience with Excel or Google Sheets for data cleaning, analysis, and reporting tasks.
- Knowledge of email deliverability best practices, including SPF/DKIM configuration, warming-up email accounts, and managing sending limits.
- Previous internship experience in sales development, sales operations, or related sales functions.
- Exposure to automation tools or scripting to streamline repetitive tasks is a plus.
- Familiarity with other sales enablement platforms or outreach tools beyond Trellus, HubSpot, and Lemlist.
