What you'll do
- Coordinate and manage logistical arrangements for ad hoc missions, including travel, accommodations, and transportation for team members.
- Serve as the primary point of contact for mission-related inquiries, providing timely responses and support to team members and stakeholders.
- Develop and maintain detailed mission plans, ensuring all tasks are clearly outlined and deadlines are met.
- Collaborate with various departments to gather necessary resources and information for mission execution.
- Monitor and track mission budgets, ensuring all expenditures are documented and reported accurately.
- Prepare and distribute mission-related documentation, including itineraries, briefings, and reports, to ensure all participants are well-informed.
- Conduct post-mission evaluations to assess outcomes and gather feedback for future improvements.
- Assist in the training and onboarding of new team members, providing guidance on mission protocols and procedures.
- Utilize project management tools to streamline processes and enhance communication among team members.
- Participate in regular team meetings to discuss ongoing projects, share updates, and address any challenges that may arise.
- Foster a positive and collaborative team environment, encouraging open communication and teamwork.
- Stay informed about industry trends and best practices related to mission support and logistics.
Requirements
- Bachelor's degree in a relevant field such as business administration, logistics, or project management.
- A minimum of 3 years of experience in administrative support, project coordination, or logistics management.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent verbal and written communication skills, with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a dynamic environment.
- Strong problem-solving skills and the ability to think critically under pressure.
- Experience in budget management and financial reporting is a plus.
- Familiarity with mission planning and execution in a non-profit or governmental context is preferred.
- Valid driver's license and willingness to travel as needed for mission support.
