About the role
Apptronik is seeking a Manager of TA Operations, Programs & Reporting to establish the foundational infrastructure for our talent acquisition function. In this role, you will own the end-to-end operations of recruiting, ensuring a consistent and scalable candidate experience. You will design and implement the systems, processes, and documentation that allow our growing TA team to function efficiently. This position requires a leader who is equally comfortable managing detailed operational tasks and analyzing data to drive strategic improvements. You will be responsible for building the programs that source our future team members and reporting on the health of our hiring pipelines. The role involves close collaboration with hiring managers to align recruitment strategies with business objectives. You will also develop the training and enablement programs that ensure our interviewers adhere to structured and fair hiring practices. Ultimately, this role is about building the backbone of Apptronik's people operations so we can scale responsibly as we design and build robots like Apollo.

What you'll do
- Oversee the daily operational execution of the end-to-end recruitment process, managing interview logistics, candidate scheduling, and communication to ensure a seamless candidate experience.
- Develop, document, and maintain standard operating procedures and internal documentation to create alignment and efficiency across the TA team.
- Lead, coach, and develop a team of coordinators and operations staff, providing mentorship, feedback, and career development guidance.
- Design, launch, and manage targeted recruiting programs, including university outreach initiatives, participation in hiring events, and employer branding campaigns.
- Create structured training modules and materials for interviewers and hiring managers to promote consistent and unbiased hiring practices.
- Construct and maintain comprehensive recruiting dashboards and reports, tracking key performance indicators such as time-to-h-fill, cost-per-hire, and sourcing efficiency.
- Serve as the primary administrator for the Applicant Tracking System, managing data integrity, process configurations, and relationships with vendors.
- Partner with leadership to plan for future team growth, including conducting headcount justification and preparing for the eventual management of a reporting analyst.
- Analyze recruitment metrics to identify bottlenecks and areas for improvement, and translate insights into actionable plans.
- Collaborate closely with cross-functional stakeholders to understand hiring needs and ensure recruitment strategies support overall business goals.
- Manage the full lifecycle of high-volume recruiting campaigns, from initial planning through execution and post-mortem analysis.
- Ensure compliance with internal policies and external regulations throughout the recruiting process.
- Drive the implementation of new tools and technologies to automate manual tasks and improve operational efficiency.
- Act as a subject matter expert on recruiting operations, providing guidance and thought leadership to the broader organization.
- Facilitate continuous improvement initiatives to enhance the effectiveness and scalability of the TA function.
Requirements
- Hold a Bachelor degree in Human Resources, Business, or a related field.
- Bring a minimum of 8 years of experience in talent acquisition operations, programs, or systems.
- Demonstrate a minimum of 2 years of experience in direct people management within a recruiting or operations setting.
- Show advanced proficiency with modern Applicant Tracking Systems, with a specific focus on Greenhouse.
- Have experience building and managing internal knowledge bases using platforms such as Notion, Confluence, or SharePoint.
- Possess the ability to create recruiting reports and dashboards using Excel or Google Sheets.
- Prove you have project management skills and experience working in a high-growth environment.
- Be able to lift 15 pounds and perform standard office tasks including prolonged computer work.
Nice to have
- Have experience with Business Intelligence or visualization tools such as Power BI, Tableau, or Looker.
