About the role
Agile Robots is seeking an entry-level professional to join our Procurement department to manage the acquisition of IT hardware, software, and related services. You will work alongside senior staff to handle daily purchasing tasks while gaining hands-on experience in corporate procurement operations. In this capacity, you will become the primary point of contact for requisitioning essential digital assets and ensuring that technology needs are met promptly. You will be responsible for maintaining the integrity of procurement data and supporting the team in optimizing vendor relationships. This role offers a structured environment where you can develop a thorough understanding of end-to-end procurement cycles. You will contribute directly to cost control and operational efficiency by executing precise and timely purchasing activities. Your work will support the broader goals of the organization by enabling smooth and compliant acquisition processes. Key facts
What you'll do
- Execute purchase orders for software licenses, IT hardware, and peripherals while following internal approval protocols.
- Communicate with suppliers to request quotes, monitor delivery status, and address billing or shipping errors.
- Manage the accuracy of the supplier database, including contract details and pricing records.
- Help senior staff with sourcing projects, supplier evaluations, and RFQ processes.
- Coordinate with Finance, Operations, and IT departments to keep procurement activities within budget and on schedule.
- Monitor procurement metrics such as cost savings, delivery timelines, and vendor performance.
- Maintain compliance with internal audit standards and company purchasing policies.
- Process purchase requisitions and ensure all documentation is complete and routed correctly.
- Track order status from placement through to receipt, escalating issues when necessary.
- Assist in the categorization of IT assets and services for improved spend analysis.
- Verify that all purchases adhere to company guidelines and regulatory requirements.
- Support the maintenance of up-to-date records for audit trails and reporting purposes.
Requirements
- A reliable, organized, and detail-focused approach to tasks.
- Foundational knowledge of the purchase-to-pay cycle and general procurement workflows.
- Strong communication skills and a willingness to work within a team.
- Ability to handle multiple priorities and meet deadlines in a busy environment.
- Professional fluency in English.
- Proficiency in Microsoft Office, specifically Excel skills such as XLOOKUP, SUMIF, and pivot tables.
- A secondary education diploma or equivalent qualification is required.
- Eligibility to work in Germany without restrictions is mandatory for this position.
- You must be able to start within a reasonable timeframe as dictated by business needs.
- You should have a strong command of written and spoken English to interact effectively with internal and external stakeholders.
- A demonstrated commitment to accuracy and compliance in administrative tasks is essential.
- You are expected to follow all company policies and procedures without exception.
Nice to have
- Familiarity with IT hardware and software categories like networking gear or laptops.
- Previous experience with ERP or procurement software such as SAP, Oracle, Coupa, or ServiceNow.
- Fluency in German or other European languages.
