About the role
The is responsible for providing attentive, intuitive, and proactive support directly to the CFO, General Counsel, and Senior Engineering Leader within the organization. This role owns the complex management of executive calendars and scheduling needs, ensuring that the leadership team can maintain focus on strategic priorities. You will balance competing initiatives in partnership with senior leaders, driving completion of key deliverables while managing follow-up on outstanding items. A core part of this position involves preparing meeting materials and coordinating all logistics for high-stakes discussions and external engagements. You will serve as a trusted problem solver who maintains the integrity of our excellent company culture while navigating diverse requests. This role also requires arranging complex travel, including international and multi-city trips, and handling all associated logistics such as air, hotel, and rental cars. You will complete essential administrative processes including expense reports, purchase orders, and contracts, while managing corporate card purchases and supporting budget planning and tracking. Additionally, you will assist with special projects and events as needed to ensure the department operates effectively and efficiently alongside other Executive Business Partners.

What you'll do
- Manage the Executive's complex calendar and scheduling needs with precision and forward planning.
- Partner with senior leaders in their department to balance and prioritize initiatives, driving completion of key deliverables and following up on outstanding items.
- Prepare meeting materials and coordinate logistics to ensure seamless execution of both internal and external engagements.
- Effectively answer inquiries of executive leadership and stakeholders and interact with them by phone, in writing, and in person with professionalism.
- Be a proactive problem solver while supporting our excellent company culture and reinforcing shared values in day-to-day work.
- Coordinate and arrange travel (e.g., international, multi-city travel) including but not limited to air, hotel, and rental cars with attention to detail.
- Complete expense reports, purchase orders, and contracts, and manage corporate card purchases; participate in budget planning and tracking as needed to maintain fiscal responsibility.
- Assist with special projects and events as needed to support the department to operate effectively and efficiently in a growing organization.
- Streamline communication flows between executive stakeholders and internal teams to promote clarity and timely decision-making.
- Act as a central point of coordination for cross-functional requests, ensuring alignment with leadership expectations and operational standards.
- Leverage AI tools such as Claude to streamline scheduling, drafting, and administrative workflows, and explore new applications as these technologies evolve.
- Collaborate with fellow Executive Business Partners to harmonize support structures, eliminate redundancy, and improve overall administrative processes.
Requirements
- You have 5-7+ years of experience assisting C-Suite leaders in fast-paced, high-stakes environments.
- You maintain a positive, open-minded and agile approach to support a growing organization through periods of change and scaling.
- You are incredibly organized and have outstanding attention to detail, with the ability to manage multiple projects which are all at different stages of the process simultaneously.
- You have an excellent customer service orientation, demonstrating friendliness, responsiveness, and eagerness to help a variety of stakeholders with diverse needs.
- You are comfortable using AI tools (e.g., Claude) to streamline scheduling, drafting, and administrative workflows, and you are curious about applying them to new areas as they evolve.
- You possess excellent verbal and written communication skills, with an appropriate blend of professionalism and friendliness in all interactions.
- You have a high proficiency using Google Suite and other organizational tools to manage information and workflows efficiently.
- You will collaborate effectively with a team of Executive Business Partners to ensure cohesive support across leadership functions.
- You are honest, trustworthy, dependable, and able to safeguard sensitive information with a high level of discretion.
