This Administrative Support Specialist Opportunity with SteerBridge positions a mid- to senior-level professional to provide executive administration, correspondence control, task management, and program-office support for an anticipated Headquarters Marine Corps engagement. The role mandates an active Secret clearance and direct, hands-on experience using the Department of the Navy Enterprise Task Management Software Solution (DoN ETMS2) to operate effectively across NIPRNet and SIPRNet environments. The successful candidate will function as a critical operational partner, ensuring the seamless flow of information and timely execution of administrative activities in a sensitive classified setting. Success in this position will directly contribute to the enhanced readiness and operational effectiveness that clients expect from SteerBridge mission solutions.
Key Facts
What you'll do
- Manage complex executive calendars, appointments, and competing leadership priorities to ensure alignment with strategic objectives.
- Coordinate internal and external meetings, conferences, and special events, handling all logistical details from inception to close.
- Assist with official travel planning, itineraries, documentation, and related administrative requirements to support seamless mobility.
- Coordinate visitor access, security clearances, meeting locations, and logistical arrangements to maintain operational security and efficiency.
- Prepare agendas, meeting materials, read-ahead packages, minutes, and action-item summaries to facilitate informed decision-making.
- Maintain professional communication with senior military, civilian, contractor, and external stakeholders to uphold institutional relationships.
- Draft, edit, format, coordinate, and route official correspondence in strict adherence to established standards.
- Ensure compliance with Department of the Navy and Marine Corps writing standards and routing procedures for all documentation.
- Prepare memoranda, position papers, briefing materials, reports, and other official documents with precision and clarity.
- Review correspondence for grammar, formatting, completeness, accuracy, and proper coordination before dissemination.
Requirements
- Hold an active Secret security clearance as a non-negotiable prerequisite for accessing classified information.
- Possess five to eight years of relevant administrative, executive-support, program-support, or task-management experience to ensure operational competence.
- Demonstrate direct, hands-on experience using DoN ETMS2 to receive, track, route, process, and close tasks without supervision.
- Have experience working within NIPRNet and SIPRNet environments to navigate secure and unclassified systems effectively.
- Have experience processing or coordinating AMHS messages to manage official document transmission workflows.
- Possess knowledge of Department of the Navy or Marine Corps correspondence standards and routing procedures to ensure regulatory compliance.
- Demonstrate experience managing executive calendars, meetings, official travel, visitor clearances, and administrative deadlines with meticulous attention to detail.
- Demonstrate ability to draft, format, review, and route official correspondence that meets strict institutional standards.
- Have experience tracking action items and providing accurate status updates to leadership to maintain situational awareness.
- Show proficiency with Microsoft Office, Microsoft Teams, Outlook, and SharePoint to leverage technology in daily operations.
- Possess strong written communication, organization, attention to detail, and time-management skills essential for high-stakes environments.
- Demonstrate ability to manage multiple urgent priorities in a fast-paced headquarters environment while maintaining quality.
- Be local to the Washington, DC metropolitan area and available to work at the Pentagon and SteerBridge office to ensure consistent on-site presence.
Nice to have
- Possess prior administrative or program-support experience with Headquarters Marine Corps, the Department of the Navy, or another Department of Defense organization to accelerate onboarding and effectiveness.
Practical notes
This engagement is contingent upon SteerBridge receiving the contract award, and the position requires availability to work in Vienna, VA, and at client sites including the Pentagon. The role necessitates the ability to handle sensitive, controlled, and classified information in accordance with strict security policies, requiring an active Secret clearance. All work will be conducted within unclassified and Secret-level environments on NIPRNet and SIPRNet, demanding rigorous adherence to Department of the Navy standards and procedures. The position involves significant interaction with senior military and civilian leadership, requiring a high degree of professionalism, discretion, and adaptability to dynamic priorities.
