About the role
Solaris is Europe's leading embedded finance platform. The role reports directly to the Operations team within the Berlin office and supports the critical function of the mailroom. You own the end-to-end flow of physical correspondence and parcels across the secure bank environment. This position ensures the integrity, confidentiality, and timeliness of all inbound and outbound communications. You will be the primary point of contact for couriers and internal stakeholders regarding the status of sensitive deliveries. Success in this role means maintaining an auditable chain of custody for all items handled.
Key facts
What you'll do
Sort and distribute incoming mail to designated departments and individuals, ensuring strict adherence to internal routing protocols and bank policies.
Receive and log all packages and deliveries, exercising heightened care when handling sensitive or confidential parcels entering the secure facility.
Maintain a meticulously organized and secure mailroom environment, implementing robust tracking systems for every item of correspondence and delivery.
Record the movement of mail and packages with precision, updating logs and databases to guarantee real-time traceability and accurate records.
Coordinate directly with courier services to manage the dispatch and receipt of urgent deliveries, negotiating timelines to satisfy service level agreements.
Provide confidential support to multiple bank departments by dispatching and receiving important documents, guaranteeing their security and timely handling.
Operate and maintain essential mailroom machinery, including postage machines, envelope openers, and high-speed scanners, while coordinating vendor maintenance as needed.
Enforce compliance with bank policies and all national postal regulations during every handling activity, participating fully in security protocol implementations for sensitive information.
Manage the entire mailroom supplies inventory, from postage and packaging materials to stationery, placing orders and verifying deliveries to prevent operational disruption.
Compile detailed operational reports on mailroom volumes, service disruptions, and process improvements, submitting them for regular review and strategic planning.
Requirements
Completed an Apprenticeship or Undergraduate Studies in a related field is preferred for this role.
Bring a minimum of 1 year of proven experience as a mail handler, office manager, or in an equivalent capacity within a professional setting.
Demonstrate fluency in English and possess German language skills at the B2 level as a minimum requirement.
Show an open personality and a genuine enjoyment of working within a fast-paced and multicultural environment on a daily basis.
Maintain a high level of attention to detail to ensure accuracy in sorting, logging, and record-keeping activities.
Exhibit a positive mindset and a Can-do attitude when facing operational challenges or procedural changes.
Possess the capability to collaborate effectively with both technical and business staff across various departments and hierarchies.
Adhere strictly to security and data protection standards, understanding the sensitivity inherent in banking operations.

Practical notes
28 vacation days, increasing by 2 days after 2 years and 3 days after 3 years with Solaris.
